Executive Assistant to Head of Commercial Strategy and Risk – Deputy Divisional Registrar (Medical Sciences Divisional Office)

  • This role also offers the opportunity for hybrid working. A fixed office team day is Monday. Our office location is John Radcliffe Hospital, Headington, OX3 9DU. 

About the Role: We are looking for a highly motivated and experienced PA or Executive Assistant to support our Head of Commercial Strategy and Risk – Deputy Divisional Registrar. 

In a friendly and supportive environment, you will be responsible for providing high quality, effective administrative and secretarial support with an exceptional level of organisation and efficient time-management skills. You will be confident in making decisions and regularly using your judgement and initiative when deciding how to carry out the role. You will have the ability to work well in a team environment, have a positive and flexible attitude, and a proactive approach to the role when supporting a senior manager with a busy and complex workload. 

This role includes committee work, preparation of agendas and papers, arranging meetings and taking minutes to support the work of the Head of Commercial Strategy and Risk. 

This is a full-time permanent post with hybrid working options available.

Key Responsibilities Include:

  • Complex diary management
  • Organisation of correspondence, identifying and prioritising items of business
  • Full executive support to the Head in all their day-to-day activities ensuring deadlines are met
  • Support for multiple committees under the Heads remit
  • Liaising with a broad range of people, from scientists and health institutions to university departments, clinicians and senior national and international figures.
  • Troubleshoot and solve IT problems in partnership with the Head
  • Work as part of a small and efficient team of administrators

Skills and Qualifications:

  • Educated to A level or equivalent.
  • Considerable experience as a PA and/or Executive Assistant at a senior level.
  • Excellent IT and MS Office skills.
  • Experience of supporting governance or committee structures, including agenda preparation, minute taking, action tracking, and the co-ordination of meetings, papers and deadlines.
  • And to produce well-presented reports.
  • Exceptional attention to detail and high level of accuracy
