The University of Surrey is a global community of ideas and people, dedicated to life-changing education and research. We are ambitious and have a bold vision of what we want to achieve – shaping ourselves into one of the best universities in the world, which we are achieving through the talents and endeavour of every employee.

The role

Join the School of Medicine’s Student Support team as a Student Support Coordinator. You will serve as the first point of contact for students seeking guidance, assistance, or access to wellbeing services, playing a vital role in ensuring that every student who reaches out receives a timely, empathic, and appropriately directed response. You will provide comprehensive administrative and coordination support within a complex and highly regulated professional environment.

Day to day, you will triage student enquiries and coordinate signposting to University services and external support organisations, including attending initial meetings with students and managing routine enquiries to ensure seamless access to support. You will assist in the administration of reasonable adjustments and disability-related support, working with the University’s Disability and Neurodiversity service.

You will liaise with personal tutors, academic leads, and the wider Student Services directorate to facilitate a coordinated approach to student welfare, maintaining the Student Support inbox and scheduling appointments as required. Alongside this, you will help plan, organise, and co-deliver wellbeing events and initiatives, contributing to an inclusive and welcoming environment within the Medical School.

The role also encompasses a broad range of administrative responsibilities including diary management, meeting and committee support, agenda and minute preparation, and the maintenance of accurate records and filing systems. You will create and update communications content across digital and print platforms, compile service usage reports, and develop a working knowledge of University regulations, GMC requirements, and student welfare frameworks to support clear and accurate guidance to students.

About you

The successful candidate will bring previous experience in an administrative role, combined with a genuine commitment to student welfare and the ability to engage empathically with individuals who may be experiencing difficulty. You will be organised, accurate, and able to manage a varied workload with a high degree of attention to detail, working with appropriate independence within established procedures.

Excellent IT skills are essential, including proficiency in MS Office and SharePoint, alongside the willingness to learn bespoke systems. Experience of minute taking, multiple diary management using MS Outlook, and working to tight deadlines is required. You will be confident in handling sensitive and confidential information with professionalism and discretion, and will demonstrate strong communication skills across a range of audiences.

You will be adaptable and flexible in your approach, willing to provide administrative assistance & cover for other members of the Faculty administrative team as required. The ability to build productive working relationships with students, academic staff, and colleagues across the University’s professional services is central to success in this role. Experience of the higher education sector and a basic awareness of the University’s activities would be advantageous, though not essential.

How to apply

Please apply on the University website including a CV & covering letter demonstrating how you meet the essential requirements outlined above.
