The role
Join our School of Medicine as a School Administrator, providing comprehensive administrative support and serving as a first point of contact for academic staff. You will play a crucial role in ensuring the smooth operation of the Medical School through efficient administration, professional service delivery, and support for key meetings and committees.
In this varied role, you will manage essential daily operations including diary management, maintaining shared inboxes, coordinating meeting rooms, and ensuring efficient office functions. You will coordinate the onboarding of new academic staff, liaising with IT and HR departments to facilitate system access, ordering equipment, and providing comprehensive signposting to relevant support services and resources.
Your organisational skills will be essential in providing full administrative support for School meetings and committees, including preparing agendas, assisting with slide deck preparation, distributing papers, taking accurate minutes, and tracking and following up on action items. You will also assist with arrangements for GMC accreditation visits, ensuring all necessary documentation and logistics are in place to support these critical regulatory activities.
Additionally, you will create, update and maintain communications content across various digital and print platforms including websites, prospectuses, and learning platforms such as SurreyLearn, whilst preparing, formatting and distributing documents to professional standards. The role includes financial administrative duties such as raising purchase requisitions, placing orders, processing invoices and expenses, and coordinating visitor arrangements with associated costs.
About you
The successful candidate will demonstrate excellent interpersonal and organisational abilities, with a strong customer focus and understanding of the diverse needs of academic staff and external stakeholders. You will be a proactive individual with an attitude open to change and commitment to continuous improvement, able to work with independence and initiative while following established standard operating procedures.
You will have previous experience working in an administrative role, with excellent IT skills including MS Office and SharePoint, along with the ability and willingness to learn bespoke software systems. Experience of minute taking, working to tight deadlines and multiple diary management using MS Outlook is essential. The role demands a high degree of accuracy and attention to detail, along with the ability to handle sensitive information in a confidential manner.
The successful candidate will be adaptable and flexible with regards to changing workloads and priorities, able to establish productive relationships with colleagues across the School & Faculty. You will be willing to provide administrative assistance and cover for other members of the Faculty administrative team, working flexibly to achieve key objectives. Experience of the higher education sector & a basic awareness of the activities of the University would be desirable.
