Internship and Special Programs Manager

Position Summary

The Internship and Special Programs Manager is responsible for the operational leadership and successful delivery of special programmes at Fordham University London (FUL). This role manages a diverse portfolio, including the flagship internship program, select short courses, and internal and external visiting group initiatives.

The Manager serves as the operational and promotional engine for these programs, ensuring excellence in logistics, student support, communications, and regulatory compliance. The Manager will spearhead the operationalisation of new programs, managing external partner logistics and ensuring that the student experience is seamless, professional, and compliant with UK regulations.

Essential Functions

  • Lead the implementation and day-to-day management of the experiential learning and special programs portfolio, ensuring all programs are delivered to a high professional standard.
  • Oversee the end-to-end lifecycle of the internship program. This includes managing the application process, overseeing the distribution of learning agreements, and managing the internship portal for both students and host organisations.
  • In collaboration with the Senior Leadership Team, pro-actively source new internship opportunities and partner organisations to build the program.
  • Act as the primary operational lead for the planning and delivery of short courses and visiting group programs. Coordinate all logistics, including scheduling, site visits, and administrative needs.
  • Market and promote the internships and the portfolio of special programs, including drafting email communications, building websites, and sending newsletters.
  • In collaboration with the Head of Experiential Learning, manage and cultivate relationships with host organisations and external partners; ensure partners are well-informed of program requirements and expectations.
  • Serve as the lead authority for ensuring strict adherence to UK Visa and Immigration (UKVI) regulations for international students participating in internships. Maintain audit-ready records and ensure all documentation is compliant.
  • Provide expert guidance to students regarding internship applications, professional workplace etiquette, and visa requirements. Address and resolve complex student challenges throughout the internship experience.
  • Manage information systems related to internship partners and comprehensive student records, utilising data to report on program success and areas for growth.

Additional Functions

  • Develop and manage communication strategies for all special programs, ensuring clear and professional information flow between FUL, students, and external stakeholders.
  • Partner with the Head of Experiential Learning and FUL faculty in order to support select administrative requirements of experiential courses, including co-curricular bookings and event logistics.
  • Support the wider student population by responding to emergency situations in accordance with FUL protocols and directing students to appropriate wellbeing resources.
  • Monitor trends in international experiential education and propose operational improvements to keep FUL programs competitive and impactful.
  • Support the Academic Team in the tracking of student attendance as part of a larger commitment to ensuring UKVI compliance.
  • Commit to working evening and weekend hours as required to support the delivery of special programmes and student events. Additional pay may be applicable for some activities in accordance with relevant HR policies.

Qualifications

  • Ideally 3-5 years of experience in program management or academic administration.
  • Proven understanding of UKVI regulations and compliance regarding international student work placements.
  • Exceptional organisational skills and the ability to manage complex, overlapping timelines for multiple programs.
  • Exceptional written and verbal communication skills; ability to represent the University professionally to external corporate and non-profit partners.
  • Experience working with American or international student populations and a commitment to fostering an inclusive environment.
  • Experience with the Google suite of applications, Canva, and other organisational and marketing software.
  • Ability to work effectively across staff and faculty lines, reporting to the Academic Director while maintaining a strong collaborative relationship with the Head of Experiential Learning and Senior Director.

Salary: £39,000 to £41,000 (plus contributory pension) commensurate with experience.
