Location: London/ Hybrid – a minimum of 3 days a week in the office 

The role 

Join our small, close-knit HR team of 5 at Northeastern University London and play a central role in how we attract, onboard and support our people. 

Working both independently and collaboratively with the team, you will coordinate and provide accurate and efficient HR support and administration, in accordance with company policies, procedures, best practice and legal requirements. Your work will directly shape the experience of every new colleague who joins Northeastern University London by providing customer focused, comprehensive, pragmatic and timely HR administrative service to our customers. 

In this role, you will be responsible for dealing with a high volume of tasks and administration coordination as the first line of support for HR queries and tickets. Excellent communication and IT skills, data input accuracy, and attention to detail are essential requirements of this role which require a tactful and confidential approach. Experience of Workday, ServiceNow and/ or Microsoft Office would be an advantage. 

Duties and Responsibilities 

Recruitment and Employee Life Cycle 

  • Support staff recruitment and onboarding processes, including creating job requisitions, posting jobs ads, liaising with candidates, preparing offers and contracts of employment, referencing, carrying out DBS checks, Right to Work checks and collecting required documentation at offer stage.
  • Liaise with hiring managers regarding all aspects of recruitment and onboarding.
  • Schedule and conduct HR inductions.
  • Support the offboarding process for leavers in liaison with line managers and payroll. 

HR Support 

  • Maintain an accurate and efficient HR database (Workday) and other systems and or spreadsheets with employee information and necessary documentation, contractual changes, training updates and payroll related updates.
  • Manage day-to-day HR queries via the ticketing system, telephone calls and HR inbox, and provide advice in line with current HR policies and procedures.
  • Maintain and respond to the HR ticketing system, incoming calls, and the HR inbox. Allocate tickets appropriately and in a timely manner.
  • Coordinate and manage communications for the universities staff newsletter ‘The Quay’.
  • Participate in regular meetings with Faculty Operations staff and Professional Services including Business Development, Student Life, Payroll and the Visa team.
  • Regularly review and update HR operational services and documentation to ensure legal compliance and customer satisfaction.
  • Process payroll and benefits administration in an accurate and timely manner.
  • Assist HRBPs with University-wide staff training initiatives including event logistics.
  • Upload and process invoices on the universities procurement tool and purchase order system ‘Intelli buy’, in liaison with the Finance department also ensuring the department spreadsheet is maintained.
  • Assist HRBPs/ the team with casework administration including note taking at meetings.
  • Participation in project work supporting colleagues or taking lead as and when required.
  • Any other ad hoc duties as required commensurate with this role.

Experience  

  • Experience of working in a busy Human Resources support role, ideally in Higher Education, providing high quality and timely work. E
  • Experience of using Microsoft Office (specifically Word and Excel) to a competent level. E
  • Experience of using an HR Information System. E
  • Experience of using Workday. D
  • Experience of using your own initiative, following process guidelines, prioritizing your own workload and managing conflicting deadlines, and managing multiple tasks simultaneously. E

Education, Qualifications and Training 

  • CIPD level 3 Qualification (or working towards one) in Human Resources. D
  • Have a working knowledge of HR processes. E

Knowledge, Skills and Abilities 

  • Excellent written and verbal communications and strong interpersonal skills to deal with individuals at various levels. E
  • Excellent IT Skills, including Microsoft Word and Excel and the ability to learn to use new systems quickly. E
  • Have a customer-focused attitude and the ability to work positively with a range of staff. E
  • Ability to assist with identifying process improvements and or project work. E
  • Have an understanding of GDPR and how it relates to HR. E 
  • Ability to manage confidentiality and complex situations with professionalism. E
