About us

The UCL Cancer Institute is the hub for cancer research at University College London, one of the World's leading universities. The Institute draws together over 400 talented scientists who are working together to translate research discoveries into developing kinder, more effective therapies for cancer patients. In particular, it fosters links between basic cancer researchers across Biomedicine and with the clinical activities of our four partner hospital trusts, known as UCL Partners (University College London Hospital NHS Foundation Trust, Great Ormond Street Hospital for Children NHS Trust, the Royal Free Hampstead NHS Trust, and Moorfields Eye Hospital NHS Foundation Trust), as well as the London School of Pharmacy and Cancer Research UK.

This post forms part of a team of administrators that sit alongside the Cancer Institute Professional Services Team. Institute Administrators collectively support the activity of the Institute’s Senior Leadership Team composed of the Institute Director, Heads of Research Departments (HoRD) and Institute Manager that underpin the wider Cancer Institute academic community. This post will directly support a HoRD/senior academic and the relevant department along with providing general administrative support for Institute-wide activities and functions. Some of these activities and functions may take place outside normal working hours. The post‑holder is expected to assist as required, with appropriate notice provided. Extra hours worked can be reimbursed in a number of ways.

The role will provide high-quality administrative support, including extensive and complex diary management; arranging meetings; making travel arrangements; processing expense claims; handling correspondence; providing logistical support for departmental activities and functions; HR record-keeping; and servicing committees.

This role does not meet the eligibility requirements for a Skilled Worker Visa certificate of sponsorship under UK Visas and Immigration legislation. Therefore, UCL will not be able to sponsor individuals who require the right to work in the UK to carry out this role.

About you

Successful candidates must have proven experience providing effective PA support in a complex organisation, including the management of a complex diary and experience of providing support to several individuals and managing conflicting priorities or deadlines.

Experience in servicing and taking notes of meetings, the ability to transcribe notes accurately and clearly, and the ability to work with limited supervision, taking responsibility for meeting service standards and agreeing targets and workloads are essential for the role.

Experience of processing invoices and expenses using online systems and experience of working within a HE or research environment are desirable but not essential.
