The School of Medicine and Biomedical Sciences is seeking a highly capable Academic Administrator to have operational responsibility for student administration, on-course administration and assessment administration for Year 3 of two interdepartmental undergraduate programmes: Pre-clinical Medicine and Biomedical Sciences.

The postholder will be a member of the Pre-clinical Sciences administration team which is based in the Medical Sciences Teaching Centre (MSTC), in the University’s science area.

The postholder will prepare the termly teaching timetables for Year 3 students, publish on-course materials for staff and students, and manage the arrangements for students undertaking their research projects. They will organise student consultation sessions, collect and process student feedback, and follow up on issues raised.

They will administer the University Examinations for Year 3 of each programme. This will include managing the yearly examination schedule, in liaison with the Chair of Examiners, organising meetings of the Examination Board and acting as Secretary to the Board, supporting examiners during the paper-setting process, managing the submission of coursework, managing the receipt of marks from examiners and assessors, and maintaining the overall marksheet.

They will also provide administrative support to the Joint Consultative Committees for each programme, and will provide advice on policy and procedure to members of University staff, College Tutors and students.

The School of Medicine and Biomedical Sciences (SMBMS) sits within the Medical Sciences Division. Its mission is to co-ordinate the delivery of four interdepartmental undergraduate programmes: Pre-clinical Medicine, Clinical Medicine, Graduate-entry Medicine, and Biomedical Sciences. As the responsibility for teaching and examining is shared across all departments in the Division, the student administration is more complex than for most other undergraduate programmes in the University.

The successful applicant will have excellent administrative, organisational and analytical skills, and will have the ability to manage a broad workload in an efficient manner. They will have the ability to handle numerical data with confidence and accuracy, and the ability to work with large and complex datasets. They will have the ability to provide strategic advice on course and examination matters, and to understand and interpret complex regulations and conventions.

To make informal enquiries about the post, please contact Louise Taylor (Senior Academic Administrator) at  louise.taylor@smbms.ox.ac.uk.

Applications for this vacancy are to be made online. You will be required to upload a supporting statement as part of your online application.

The closing date for applications is midday on 17 November 2026 and interviews will be held on the 25 November 2026.
