Executive Assistant to Associate Dean of MBA and Executive Degrees

Grade 6: £28,098 - £33,518 with discretionary range to £36,613 p.a.

We are recruiting an Executive Assistant to the Associate Dean of MBA and Executive Degree Programmes on a permanent basis. This is a fast paced role that will form an integral part of the MBA and Executive Degrees team based at our Park End Street site in Oxford.

If you are looking for a multifaceted, busy position that will take on not only Executive Assistant duties, but involve you in project work, dealing with students and building relationships with clients of Oxford Saïd and internal stakeholders, this would be a fascinating role for you.

In this post your key responsibilities will include diary management, budget management and relationship building as well as some project management. You will look after the Associate Dean’s diary, as well as assisting with their interface with the wider University, School and Business Community. You will monitor and manage the departmental budget on behalf of the Associate Dean, to ensure all financial processes are followed and tracked appropriately. You will prepare reports, papers and presentations, undertaking appropriate research as required. Arranging travel, accommodation and visas for business trips will also be a key requirement. You will take responsibility as a project link for a series of events which will involve liaising with marketing and events teams. Not only will you assist the Associate Dean you will also provide executive support to the wider MBA and Executive Degrees teams as appropriate.

To be considered at shortlisting you will be a flexible person with good time management skills and an efficient approach to diary management. You should be confident supporting someone at Director Level and be able to take a variety of tasks in your stride, from managing budgets to negotiating room bookings, managing speaker events and visits, and dealing in a sensitive manner with executive students. You will be an advanced user of the Microsoft Office Suite and have outstanding interpersonal and communication skills. In addition you will have meticulous attention to detail coupled with ability to work under pressure in a busy office environment. Project management or administration would also be a distinct advantage.
