Attendance and Pastoral Officer

The role of Attendance and Pastoral Officer entails promoting a supportive educational environment in Istituto Marangoni by ensuring diligent attendance monitoring. This will involve addressing through attendance tracking the underlying personal, social and academic challenges that students face. The job holder will have a full ownership of the attendance monitoring cycle, which involves respecting and following precisely the Attendance policy requirements, developing an operational procedure to ensure seamless completion of actions and maintaining meticulous attendance records and reports. This role will involve referring well-being issues to the Pastoral care team to support the overall well-being and engagement of students and coordinating with the Visa Manager to address any attendance concerns and to mitigate any potential risks.

Key Responsibilities:

  • Monitor and track students' daily attendance based on received reports and notifications, while maintaining and updating records accordingly.
  • Identify and report students with poor or prolonged absences to the Programme Leaders, Student & Academic Services Manager, Pastoral care team and Visa Manager adhering to deadlines and steps indicated on the attendance policy.
  • Work with Student & Academic Services Manager and relevant teams to create, coordinate and communicate welfare reporting and tracking system to address concerns regarding students welfare and attendance.
  • Manage and document absence evidence provided by students, updating the system with excused/unexcused absences and offering pastoral support regarding their absences.
  • Issue attendance concern and attendance engagement warning letters, maintaining an accurate and up-to-date record of issued letters.
  • Document meetings and interactions with students meticulously, focusing on understanding their individual circumstances
  • Provide weekly attendance reports to Programme Leaders, tracking relevant follow-up actions and ensuring Programme Leaders are informed of any actions taken, including details of concern and warning letters issued.
  • Generate a variety of management reports, including ad hoc requests such as attendance statistics, intervention outcomes, and welfare check-ins.
  • Proactively contribute to improving students' attendance rates and the broader aspects of student welfare.
  • Assist the School in implementing the Attendance and Engagement Policy and ensuring compliance with UKVI's student attendance requirements.
  • Undertake other duties as required, commensurate with the role.

Knowledge and Skills Required:

  • Bachelor's degree education.
  • Certification in Safeguarding young people
  • Previous experience in a similar role within an educational environment.
  • Previous experience of providing advisory and/or pastoral support.
  • Proficient in IT skills, particularly in working with spreadsheets, data, and student record systems.
  • Ability to utilize data to generate reports and analyze results effectively.
  • Excellent communication and interpersonal skills, demonstrating a commitment to customer service.
