The Post

The post of Timetabling Planning and Operations Lead is part of Academic Registry and sits within the Timetabling, Exams and Graduation area of the team. The team is responsible for a number of key areas of operation: teaching timetabling, examination scheduling, examination operation, graduation operation, academic misconduct administration. The team reports directly to the Academic Registrar and supports the Academic Registrar as required in order to support the successful achievement of Academic Registry objectives. The team also works collaboratively with the University’s Faculties, Divisions, and Professional Services Units to achieve institutional objectives.

The Timetabling Planning and Operations Lead plays a key role in the delivery of a full academic timetabling service in support of the University’s learning and teaching strategic objectives and the student experience. They ensure the optimal management and utilisation of teaching and exam timetabling software, implementation of dynamic timetabling approaches to facilitate delivery of effective and responsive timetables, adherence to institutional policy relevant to teaching timetabling, and undertake monitoring and reporting of timetabling activity and effectiveness.

Working pattern
It is a requirement of this role that the post holder working hours are flexible to meet the demands of the business and to support key University events. In particular, this is likely to require the post holder to work out with “normal working hours” during the exam diet where exams papers can be collected from 8:00am. Additionally staff are required to occasionally work at the weekend for example during the exam diet and when assisting at an enrolment/ID event for students. 

Description of Duties

  • Plan and manage dynamic approaches to teaching and exam timetabling, in order to ensure the delivery of effective and responsive timetables, that support University objectives for learning and teaching operations and the student experience
  • Plan and manage the collection of teaching and exam timetable requirements data from Faculties
  • Work collaboratively with colleagues across the University, in both faculties and professional service teams such as Estates and Campus Services, and Information Services, to ensure required alignment of activity relevant to timetabling, space utilisation and publishing of timetable information to students

Essential Criteria

  • Educated to degree level or equivalent
  • Experience of using teaching timetabling scheduling software for scheduling purposes and to exploit optimum delivery, preferably in a Higher Education environment
  • Highly numerate, and skilled in analysing data and managing large and complex data sets
