The Opportunity:

The Cellular Genetics Programme is seeking a talented and enthusiastic Executive Administrator to provide and coordinate support for the Head of the Cellular Genetics Programme, Dr. Sarah Teichmann, as well as lead and develop the Team Administration function.

About Us:

The Cellular Genetics Operations team supports the cutting-edge research of all Faculty groups within the Cellular Genetics Programme. By providing multidisciplinary support we maximise the delivery and scale of our Faculty science, which is focussed on mapping human tissues at scale. Cellular Genetics Operations is comprised of several teams supporting the following activities; team and research administration, bioinformatics, laboratory support and sample processing, scientific illustration, project management and software development.

The Teichmann lab uses cutting edge single cell genomics technologies and computational methods to understand genes, proteins and cells in human health and disease. We have a long-standing interest in understanding global principles of gene regulation, protein interactions and have a particular interest in immunity. We are focused on using single-cell approaches, cell atlas technologies, and understanding human genetics at the cellular level. 

About the Role:

In this role, you will provide professional administrative support to the Head of the Cellular Genetics, including leading and coordinating the Team Administrator function (line managing three staff members) which provides Administrative support to the Cellular Genetics Faculty. The role holder will be able to work closely with and anticipate the needs of the Head of Cellular Genetics, gauging opinion and influencing thinking to proactively outline key events and activities, formulating plans to seamlessly execute initiatives. This would involve ensuring the Head of Cellular Genetics engages appropriately in the development and approval of key documents and communications. 

As a key member of the Cellular Genetics Administration team you would be providing bespoke administrative support for the Head of Cellular Genetics, including inbox management, drafting curated responses and actions; drafting and collation of meeting papers and documents, including agendas, minutes, actions tracking, letters, references, and other documentation in conjunction with the wider Cellular Genetics Operations team. This is a rare opportunity to support the delivery of our cutting-edge research at a senior level.

You will work in a matrix environment interacting with stakeholders from within the Programme, the wider Institute, and with our global collaborators. Well-honed interpersonal skills and the ability to form and maintain strong working relationships with a diverse group of individuals is critical.

About You:

To excel in this role, you should have extensive experience of providing high quality support at the executive assistant level. You should be a highly organised, efficient, self-motivated, and ideally energetic individual who is able to work independently in a dynamic environment with flexibility, adjusting to varying priorities and finding solutions to challenges which arise. You will need to be comfortable working in a confidential environment and be confident building effective working relationships with internal and external stakeholders at all levels of seniority.  A keen interest and broad understanding of the Cellular Genetics Programme science would be highly advantageous, with the ideal candidate having a scientific background or significant experience working in a fast-paced scientific environment.

Essential Skills

Technical Skills:

  • Experience of providing a full administrative support at an excellent level, including managing complex diaries and inboxes, compilation of correspondence, calendar administration 
  • Exceptional organiser with the ability to plan, prioritise, and manage workload 
  • Experience of managing complex diaries and inbox management 
  • Proficient in schedule management and an ability to solve time conflicts and competing priorities, under the pressure of time constraints and with little notice 
  • Capability of dealing with sensitive information and upholding absolute confidentiality 
  • Experience working in a scientific/academic environment 
  • Excellent IT skills, including proficiency in Microsoft Office
