Office Administrator

University of Oxford - International Engagement Office

Location: Oxford
Salary: £27,131 to £32,348
Hours: Full Time
Contract Type: Permanent
Placed On: 21st September 2022
Closes: 17th October 2022
Job Ref: 160599

This is a full-time, permanent post.

We are seeking a friendly and high-performing Office Administrator to support the work of the International Engagement office and to undertake some work in the Pro-Vice-Chancellor’s office. This is a terrific opportunity for someone who is an experienced administrator or assistant, excited about international affairs, and capable of performing a diverse set of activities with enthusiasm.

You will have the opportunity to help shape the work of our newly re-formed office, working closely with the Pro-Vice-Chancellor’s office and the Vice-Chancellor’s office. You will be a core member of our small, friendly team.

Above all, the role requires a first-class office administrator. You will be the first point of contact for managing the diverse enquiries to the International Engagement office. You will co-ordinate successfully with other parts of the University, as well as ensure the smooth and effective running of the office.

You will co-ordinate a number of trips for senior leaders of the University, being responsible for logistics, finalising itineraries, liaising with colleagues on the ground, and collating briefing packs.

A large number of international institutions, ranging from universities to government ministries and politicians, approach Oxford for a visit. You will be the main point of contact for approaches made to the central University and you will play a key role in facilitating and supporting the logistics of these visits.

You will also work closely with the Pro-Vice-Chancellor and their office to organise logistics for these trips, including organising visas and air and ground transportation and developing and finalising itineraries. You will also be part of several regional and planning groups.

The closing date for all applications will be 12.00 noon on Monday 17 October 2022.

Opportunities for flexible working: Candidates are encouraged to discuss their needs and preferences for work arrangements in the interview. We are open to requests to work flexibly, though a core few days in Wellington Square each week will be required.
