Director of Study Abroad and Internships

About AIFS

The American Institute for Foreign Study (AIFS) was founded in 1964 and since then, over 1.6 million participants have joined our educational and cultural exchange programs. Over 6,000 American college participants study abroad each year with the AIFS Abroad Division. AIFS Abroad is comprised of AIFS Study Abroad, sending approximately 3,000 students to local universities around the world, AIFS Customized, hosting approximately 2,600 students on customized, faculty-led programs and AIFS Internships, placing approximately 600 students on internships each year.

Job Summary/Main Purpose

To oversee a portfolio of Study Abroad programs and the operational side of all Internship programs.  To liaise with other directors to ensure the correct implementation of all policies and procedures across the entire division.

Responsibilities

Team Management

  • To supervise and support the Study Abroad and Internship teams in a selection of locations.
  • To assist with the hiring of new team members and to liaise with the location accountants and lawyers over the preparation of contracts, and to organise inductions.
  • To ensure team members have the resources and training to succeed in their roles.
  • To conduct staff appraisals.

Program Operations

  • To manage a blended portfolio of Study Abroad programs and Internship programs, liaising with stakeholders at host universities, AIFS admissions staff and program delivery teams.
  • To prepare budgets and proposals for Customized programs and to liaise with relevant stakeholders both internally and externally in preparation and delivery of the programs.
  • To oversee the administrative function of designated overseas offices and associations, where applicable, including but not restricted to payroll, employee taxes, social security, liaising with location accountants and lawyers and to ensure we are following all local guidelines and meeting requirements for compliance and HR.
  • To maintain accurate accounts and exercise appropriate control over program delivery costs of the programs for which the Director has direct responsibility.
  • To liaise with AIFS staff in the US regarding student recruitment, admissions and pre-departure information.
  • To develop new programs and work with senior management in assessing new opportunities.
  • To work with senior management and other Directors to review divisional and program policy and to ensure it is implemented across all three products (CFL, Study Abroad and Internship). This will include taking the lead on new projects and initiatives as needed.
  • To be part of the program delivery leadership team and therefore part of the AIFS Abroad Crisis Management team.

Internships

  • To oversee the logistics of all internship programs, including, liaising with the local coordinator to secure housing contracts, staffing arrangements, and cultural activities program
  • To oversee the budgets of all internship programs and in collaboration with the Deputy Director ensure all payments are made, recorded, and budgets are updated
  • To work with the US Internship team to create customized Internship programs as needed

Travel

  • To visit locations as required to participate in client (student and administrator) meetings, internal meetings and sector conferences.
  • To assist in welcoming, and meeting with, US campus administrators and faculty during visits to program sites and at other key program events as needed.

Performance Indicators

  • Delivery of programs within agreed budgets.
  • To achieve at least 90% excellent and good combined in all categories on student evaluation forms for programs under control of the Director.
  • Delivery of program and budgets within agreed timelines.
  • To achieve positive feedback from program faculty and US co-ordinators.

Skills Required

  • Demonstrable experience in supervising staff with evident leadership qualities.
  • Experience in planning and running study abroad programs or related area.
  • A degree or equivalent.
  • Knowledge of at least one foreign language is desirable
  • Numeracy and ability to maintain accurate records of expenditure.
  • Commitment to quality, flexibility, good interpersonal skills, ability to prioritise.
  • Familiarity and proficiency with Microsoft Office 365

The successful candidate will need to show enthusiasm, initiative and motivation working independently and as part of a team based in London as well as a wider global team in the setting up and successful delivery of programs. Due to the nature of the role willingness to work flexibly is essential.

Salary and Benefits 

  • The position is full-time in the London head office 
  • Competitive salary and discretionary annual bonus
  • 22 working days paid holiday a year rising after 2 and 5 years’ service plus public holidays. Lieu days will be accrued for extra days worked such as weekends
