We are seeking to recruit a full-time Executive Assistant to provide comprehensive support to the Head of the Social Sciences Division in the University of Oxford and to ensure the effective day-to-day organisation of the Head’s business. The postholder will also provide support to the Divisional Registrar and will have other responsibilities for ensuring the smooth running of the divisional office. The Social Sciences Division is a world-leading centre of research and education in the social sciences.   

Specific duties include a substantial amount of diary management; ensuring the Head and Divisional Registrar have the necessary papers for meetings; receiving visitors and handling enquiries on behalf of the Head and Divisional Secretary; making travel and other logistical arrangements; handling expenses claims; and making arrangements for certain divisional committees.  The role involves working closely with a wide range of colleagues within the Division and across the University, including with the University’s Facilities Management team.

The successful candidate will have experience of providing PA/EA support and be able to demonstrate the requisite administrative and general office skills.  They will be comfortable prioritising competing demands and able exercise sound and informed judgment. They will combine excellent time and task management with proactivity and flexibility and enjoy deploying high calibre interpersonal and communication skills.
