Timetabling Officer

Mander Portman Woodward

We are seeking a meticulous and analytical Timetabling Officer to take responsibility for the construction and management of our college’s bespoke, dynamic timetabling.

This is a pivotal role in the academic operations of a college known for its individualised approach to education, where each student follows a tailored programme of study. As such, timetabling here is not simply logistical, it is personal, adaptable, and at the heart of ensuring a smooth academic experience for both students and staff.

Experience with iSAMS, particularly the Academic Management and Timetabling modules, is preferred but not essential. Candidates with experience in other MIS platforms who are willing to train in iSAMS are also encouraged to apply.

About the Role:

Working closely with the Registrar and the Vice Principal Academic, the Timetabler will be responsible for building and maintaining individualised student timetables that reflect each student's unique subject combination, learning needs, and programme of study.

In addition to creating and managing bespoke timetables, the postholder will also:

  • Compile data to support college analysis and performance monitoring
  • Support the Registrar with census submissions and academic progress tracking

This role demands a keen eye for detail, strong systems literacy, and a calm, solutions-focused approach to problem-solving.

Key Responsibilities:

  • Design and manage bespoke academic timetables for individual students, adapting to changes throughout the academic year
  • Input and maintain scheduling data within iSAMS (or similar MIS), ensuring accuracy across subjects, staffing, and rooming
  • Collaborate with academic staff and pastoral teams to ensure student needs are fully reflected in their schedules
  • Resolve timetable clashes and manage timetable adjustments with efficiency and care
  • Compile accurate academic data to support internal analysis, performance reporting and curriculum planning
  • Work closely with the Registrar to provide data for DfE and ISC censuses, monitor student attendance and progress, and ensure regulatory compliance
  • Produce and interpret data reports relating to curriculum delivery, student grouping, staffing and resource allocation

About You:

  • Experience in academic timetabling, preferably in a college or university setting
  • Familiarity with MIS systems—iSAMS preferred, though training will be provided
  • Excellent Excel and data handling skills
  • An ability to think clearly and flexibly under pressure
  • Strong communication skills and a collaborative working style
  • An appreciation of the demands and rewards of working in a student-centred academic environment

What We Offer:

  • A key operational role in a dynamic and supportive college
  • Training in iSAMS and ongoing professional development
  • A friendly and professional team environment
  • Opportunities for involvement in academic planning and analysis
  • Access to staff facilities including common room, café, and library
