About the role

We are seeking to appoint an Operations Officer who will have responsibility for supporting the delivery of services underpinning the business and research functions in the School of Basic and Medical Biosciences. The post holder will be based at Guy’s Campus, within the Randall Centre for Cellular and Molecular Biophysics  and work closely with the School Core Team and Head of Department, to primarily provide efficient, high quality operational and administrative support to staff and students in the Centre, acting as first point of contact on research administration and HR enquiries as well as support other school projects and provide operational support across the whole school where required.

They will support HR processes at every stage of the employee lifecycle and research administration through the whole life cycle of research grants (from application to closure, pre- and post-award). They will support research and non-research financial transactions, monitoring budgets and processing invoices and expense claims as well as the day-to-day administrative requirements of the Centre/School.

This role is very varied and will provide the opportunity to develop a wide range of experience and skills within a supportive and friendly environment. It will suit a highly numerate and IT savvy candidate with excellent organisational skills who can work accurately, with close attention to detail in a busy environment with tight deadlines. The successful candidate will be comfortable working across multiple projects and areas and will have excellent communication skills to be able to develop good working relationships with the School’s Professional Services team, academics and researchers as well as colleagues across the University.

This is a full-time post (35 hours per week), and you will be offered an indefinite contract.

Following the training period, this post is available as a hybrid working post or with flexible working in agreement with the line manager.

About You

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria

  • Educated to degree level or relevant experience
  • Experience of a wide range of administration processes including HR and/or grant research management
  • Highly numerate with proven financial management and analytical skills and ability to handle complex financial information
  • Excellent verbal and written communication skills with experience of building an effective network across a complex organisation
  • IT literate with experience and good knowledge of data management and document control skills via the use of complex databases, management information systems and Excel
  • Ability to work under pressure in a busy environment, multitask and deal with competing demands
  • Ability to work independently and as part of a team
  • Accuracy and attention to detail with ability to maintain confidentiality
  • Experience of committee servicing, diary management and/or events organisation

Desirable criteria

  • Experience of working in a higher education institute or research environment.
  • Experience of supporting and implementing HR processes
  • Experience of managing research grants and/or university finance and an understanding of the HE funding environment
  • Experience of use of complex sharepoint sites, viva engage, powerapps and copilot
