About the role

Bodleian Digital Library Systems and Services (BDLSS) are seeking a Digitization Assistant to work within its Digital Bodleian team. Digital Bodleian is the Library’s flagship platform for digitized collections: https://digital.bodleian.ox.ac.uk

You will play a key role in ingesting Bodleian and Oxford colleges’ materials into Digital Bodleian, including images of rare books and manuscripts, maps and modern archival items. You will use online information sources and printed catalogues to source and check bibliographic metadata for items being digitized and carry out data entry within the digitization workflow. You will talk to curatorial staff and academic staff where necessary, carrying out any research, reformatting of existing catalogue entries, or analysis of images to ensure that the data held in our repository about the digitized version of the book is as accurate and complete as possible.

This is a full-time post, fixed-term for 12 months. Hybrid working is offered on a flexible basis, although some office-based working will be required especially during the onboarding period.

About You

You will be highly computer literate, with demonstrable experience in using common software applications e.g. MS Word, Excel, Outlook, Adobe Acrobat, and have the ability to learn quickly and use specialist software. You will have experience of working with structured records such as cataloguing or metadata and have excellent attention to detail, with particular regard to accurate and efficient data entry.

Diversity

We are committed to ensuring that our recruitment processes are inclusive and accessible. If you require the job description or any other materials in an alternative format, or if you would like to request any adjustments to support you through the application or interview process, please contact the recruitment team at recruitment@glam.ox.ac.uk.

How to apply

You will be required to upload your CV and a supporting evidence form using the attached template as part of your online application. Your supporting evidence form should list each of the essential and desirable selection criteria, as listed in the job description, and explain how you meet each one. Both documents must be submitted to be considered.

We aim to provide a supportive working environment and are happy to discuss training and professional development opportunities. For queries relating to the role, please contact Tim Dungate, Digitization and Digital Engagement Manager (tim.dungate@bodleian.ox.ac.uk). General queries about the recruitment and application process should be directed to the Recruitment team within our Human Resources department (recruitment@glam.ox.ac.uk).

Please discuss secondments with your line manager in the first instance, as you must have their agreement that you can be released for a secondment before you submit an application. https://hr.admin.ox.ac.uk/secondments

Only applications received online by 12.00 midday (BST) on Wednesday 6 August 2025 can be considered. Interviews are expected to take place on Friday 22 August 2025.
