We are seeking two organised, friendly and proactive individuals to provide high-quality receptionist and administrative support within the world-class Institute of Metabolic Science. As the first point of contact for both visitors and staff, you will play a key role in creating a welcoming environment and supporting the smooth running of our day-to-day operations.

Responsibilities:

  • Provide a reception service for the Department. Welcome visitors to the department, deal with telephone enquiries, take accurate messages and pass them on to appropriate staff, collect incoming post and distribute, organise outgoing post, arrange courier services as required.
  • Perform administrative duties such as prepare information packs, template letters, maintain filing systems, book internal meeting rooms and prepare them ahead of meetings, understand the AV systems in the meeting rooms, photocopy, print/scan and collate documents, assist with data input when required, arrange for maintenance repairs when required, take responsibility for the social room for the department making it a welcoming space.
  • Assist with processing of security cards and keys to department, administration relating to issue of parking permits, assist with the organisation of events e.g. departmental open days, departmental annual events etc.
  • Receive and record deliveries and notify purchasers to collect or have them delivered as required ¿ liaise with the Lab Operations team regarding lab deliveries.
  • Perform other general administrative/clerical duties. Order stationery for use in department, maintain and update staff database as required, ensure reception and other office areas are kept tidy, assist with the organisation of events and activities, update departmental telephone and other contact lists, assist in updating web pages as required.
  • Be a positive, proactive influence within the Professional Services Team!

Requirements:

  • Proven experience in administrative and reception duties, ideally within a busy office, healthcare, or academic environment.
  • Strong communication skills, both written and verbal, with a professional and friendly manner.
  • Excellent organisational and time management skills, with the ability to multitask, prioritise effectively, and meet deadlines.
  • Proficiency in Microsoft Office package and other relevant office systems.
  • Ability to handle sensitive or confidential information with discretion, professionalism, and sound judgment.
  • Based at Addenbrooke's Hospital on the Cambridge Biomedical Campus ¿ a dynamic and supportive setting to develop your career.
