Background:

The Admissions Service is located in the University’s Academic Services portfolio, which provides services and support to students from the point of application to graduation, as well as teaching administration support to Faculties and Schools. The Academic Services team aims to ensure that students can articulate and achieve their goals, make the most of their time at the University, and access the support they need, when they need it.

About:

This role is part of a team delivering effective admissions processing, enquiry management, conversion and customer service practices which meet the needs and expectations of applicants and agents. As the Admissions workload ebbs and flows throughout the year, and strategic prioritisation of processing occurs, the post holder will need to be agile and support their colleagues as required. 

Duties:

  • Provide a professional, accurate and consistent service to applicants, agents, academic staff and other clients of Admissions, ensuring excellent customer service to at all times.
  • Ensure face to face, telephone, e-mail and web queries and feedback are dealt with in an appropriate, accurate and timely manner.
  • Contribute to a repository of information to enable enquiries to be answered accurately and in a timely manner.
  • Undertake application processing tasks such as updating offers, processing tutor and confirmation decisions, administering requests to withdraw or defer, and updating applications.
  • Interpret documentation in line with Standard Operating Procedures including guidance manuals for staff and applicants, best practice notes and general applicant correspondence.
  • Check evidence and recording of previous study data for statutory returns.
  • Maintain accurate application records in the appropriate system(s).
  • Initiate Disclosure and Barring Service checks in the online system as instructed and undertake ID checks as appropriate. Access and interpret Disclosure and Barring Service checks to aid enquiry management.
  • Support internal and external accreditation activity, quality reviews and audits as required.
  • Participate in projects to deliver improvements and enhance the applicant-student journey.
  • Participate in open days/applicant days/visit days/open evenings.
  • Support other parts of the Admissions service and provide cover as needed to ensure applicants and enquirers always receive excellent customer service.
  • Undertake any other duties commensurate with the grade as directed
