Role Summary 

The Programme Coordinator plays a pivotal administrative role in supporting the academic team with the smooth operation of the BA programme. Their role is to ensure consistent and efficient communication and coordination across key administrative departments within Vogue College of Fashion and BrandEd, with specific focus on Facilities, IT, Digital Learning, Student Support, Careers Services, and the Registrar. 

Working closely with team colleagues, the Programme Coordinator is responsible for delivering a shared and structured administrative service that underpins the student experience from Open Day through to Graduation. This role is central to maintaining programme logistics, academic support systems, and quality assurance processes, and requires a high level of organisation, attention to detail, and proactive service delivery. The Programme Coordinator also plays a key role in supporting and working with the College’s Visiting Lecturers by maintaining clear and consistent communication regarding their individual teaching commitments and assessment timelines. 

Contract: Full-time, permanent, Monday – Friday, 35 hours per week. There is a minimum requirement of 3 days working in the office per week.

Reports to: Course Leader, BA (Hons) Fashion Communication & Industry Practice 

Key Duties and Responsibilities 

Programme Administration

  • Organise the day-to-day running of the BA programme – tasks include (but are not limited to) confirming bookings and sending out reminders to visiting lecturers, booking classrooms, ensuring timetables are correct and updated, setting up internal meetings, booking IT facilities, updating internal records and managing the communication channels on Canvas.
  • Respond to student queries in a timely and positive manner, highlighting issues that arise to the programme team.
  • Assist with compilation and production of the programme timetables, module handbooks/ briefs, module assets and learning materials, under the direction of the Module Leaders / Course Leader / Programme Directors.
  • Facilitate the communication with Visiting Lecturers (VL), ensuring all VLs are clear on their individual timetables and that VL records are accurately maintained.
  • Maintain and update student records, collate and catalogue coursework and help to monitor the marking and grading of assignments.
  • Prepare programme materials including production and distribution of programme handbooks, timetables, lecture notes, maps, notices, and general information for students.
  • Maintain Canvas (Online Learning Platform) so that students have online access to the course materials, assessment, set readings etc.
  • Assist Course Leader / Programme Directors by collating information about programme income and expenditure.
  • Assist Faculty with assessment procedures including co-ordination of double-marked written work, collating feedback to return to students and run routine plagiarism checks using Turnitin software.
  • Maintain and carry out procedures in alignment with the requirements of the College’s validation and quality policies.
  • Circulate announcements (e.g. survey requests, programme / course updates etc) to students and relevant VCF faculty / staff.
  • Attend Committee meetings and undertake minute taking, as needed.
  • Organise events and assist with the graduate exhibition, graduation ceremony and open days, as needed.
  • Organise study and exhibition visits.
  • Support the preparation of progression letters for the BA programme.
  • Process invoices related to academic team & student expenditure.
  • Check and approve timesheets for Visting Lecturers.
  • Be a credit card holder for costs specifically related to the programme you are associated with, including submitting expenses for the credit card. 

Maintaining Systems and Records

  • Implement and update systems within the department to ensure smooth running of administration for both academic staff and students.
  • Keep attendance records for each teaching session in line with regulations. 

Wider Institute Support

  • Support other Institute departments and senior colleagues when required.

Person Specification 

Essential Criteria 

  • Significant experience in administrative support preferably within an academic or higher educational setting.
  • Excellent organisational and time-management skills, with the ability to prioritise tasks and meet deadlines.
  • Strong numerical, verbal and written communication skills including monitoring budgets and accurate grammar.
  • High level of accuracy and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and confidence using digital platforms.
  • Strong interpersonal skills with the ability to work collaboratively across teams and with external stakeholders.
  • Proactive, willing to take initiative and contribute to continuous improvement. 

Desirable Criteria 

  • Experience working with academic staff, visiting lecturers, and external partners.
  • Experience supporting graduation ceremonies, exhibitions, or open days.
  • Experience using virtual learning environments (e.g. Canvas, Moodle) and plagiarism detection tools (e.g. Turnitin).
  • Educated to Degree level.
  • Interest and enthusiasm for supporting fashion and/or creative programmes.
