The Department of Geography is seeking an experienced and motivated Head of Department's Office Administrator to provide comprehensive support to the Head of Department (HoD) and contribute to the efficient day-to-day running of the Department.
The postholder will manage the Head of Department's office on a daily basis, including maintaining a busy diary, arranging meetings and appointments, preparing correspondence and reports (often of a confidential nature), and responding to a wide range of queries with professionalism and discretion. The postholder works with the HoD to manage committee membership, academic induction, mentoring, probation and sabbaticals. The role also involves finding and analysing information to support decision-making, as well as liaising closely with the Business Operations Manager (BOM), Assistant Departmental Administrator, academic and professional services staff, other University offices such as the Academic Division and School of Physical Sciences, and external bodies.
In addition to supporting the Head of Department, the Administrator will undertake specific duties that contribute to the wider work of the Department. These include administering the Visiting Academic Programme, managing student and academic travel funds, and acting as the Department's Disability Liaison Officer, supporting an inclusive environment for all staff, students, and visitors. The postholder will also provide occasional assistance to the Undergraduate and Graduate Offices as needed.
We are looking for a flexible and reliable team player with excellent communication and interpersonal skills. You should be highly organised, able to prioritise your workload and capable of working to tight deadlines. The role requires accuracy, attention to detail, and the ability to work both independently and collaboratively.
Experience of committee work, with the ability to draft agendas and papers, to minute formal meetings and manage resulting actions, is essential. Experience of working with publishing software would be an advantage. Excellent IT skills MS Office (word processing, spreadsheets, PowerPoint) are essential. Educated to A level standard or equivalent, to include GCSE-level English and Maths.
