Higher Education Administrative Assistant

As our Higher Education Administrative Assistant, you’ll provide essential administrative and operational support across ECT, helping to ensure the smooth day-to-day running of the organisation. Working closely with academic and professional staff, you’ll support meetings, data management, and compliance activity, playing a key role in maintaining high standards of service and governance within a specialist higher education environment.

This is a part-time role (25 hours per week), based in Stevenage with hybrid working.

What You’ll Do

  • Manage correspondence, emails, and telephone enquiries promptly and professionally.
  • Maintain accurate electronic records, filing systems, and documentation.
  • Prepare documents, reports, and meeting papers as required.
  • Input, update, and maintain data across internal and external systems, ensuring accuracy and confidentiality.
  • Ensure compliance with data protection, GDPR, and confidentiality requirements.
  • Organise and schedule online and in-person meetings, including calendar management and logistics.
  • Take accurate minutes and distribute them to relevant stakeholders in a timely manner.
  • Provide administrative support for staff development activities, internal communications, and meetings.
  • Offer guidance on administrative processes and escalate issues where appropriate.
  • Support quality assurance and compliance activities, including audits, reporting, and regulatory submissions.
  • Contribute to continuous improvement of administrative processes and ways of working.

What We’re Looking For

Essential

  • Strong organisational and time-management skills, with the ability to manage competing priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office and experience using databases or record-keeping systems.
  • Ability to work independently while also contributing effectively as part of a team.
  • Strong understanding of GDPR and data protection requirements.

Desirable

  • Experience in an administrative role within a UK higher education environment.
  • Knowledge of UK higher education systems, processes, or regulatory frameworks.
  • Experience working within a small, specialist, or newly established HE provider.
