Program Coordinator

Rutgers UK

The Program Coordinator will execute programming to support Rutgers students and faculty members in the United Kingdom and in the European Union. They will serve as the conduit between Rutgers University and Rutgers UK and will be responsible for coordinating, planning, leading, and staffing meaningful experiential learning, research, and cultural immersion opportunities designed to cultivate adaptability and global insight in today’s diverse, interdisciplinary world. While the Coordinator will report to the Manager of Operations on a day-to-day basis, they will work closely with, and receive guidance from, the Vice Provost for Experiential Learning and the Vice Provost/Vice Chancellor for Research for the purpose of executing their respective strategies.

Essential Functions:

Program and Student Support

  • Execute student experiential learning opportunities in the United Kingdom/Europe, to deepen and expand student engagement.
  • Coordinate with Rutgers alumni to foster mentorship arrangements, panel discussions, salons, and other similar offerings.
  • Serve as the logistical point of contact in the United Kingdom/Europe for Rutgers University students visiting the United Kingdom/Europe for experiential learning.
  • Manage all logistical arrangements related to student programming, including travel, lodging, venue confirmations, and site visits.

Research and Faculty Support

  • Support meetings and events to promote research and foster collaborations.
  • Serve as the logistical point of contact in the United Kingdom/Europe for Rutgers University faculty members visiting the United Kingdom/Europe for research and other programing purposes.
  • Manage all logistical arrangements related to faculty visits and programming, including travel, lodging, venue confirmations, and site visits.

Program Support - Development and Administration

  • Coordinate with the Rutgers UK Manager of Operations; General Director, Engagement & Operations; and the Engagement team to ensure seamless execution of all responsibilities.
  • Working with the Rutgers UK Manager of Operations, ensure a positive environment that promotes equity, belonging, and inclusion.
  • Develop and implement a communications plan to connect with and engage stakeholders (e.g., e-newsletter, website, social media channels, etc.).
  • Maintain understanding of international study rules and requirements, including national and regional laws and visa regulations.
  • Provide administrative support for the preparation of competitive grant applications and the establishment of institutional and industry collaborations.
  • Plan, support, and execute events.
  • Other duties as assigned.

  • Follow set guidelines for projects/initiatives and begin to shift to more complex projects by owning components.
  • Begin to assume operational tasks across the department.

  • Execute strategy and move in the direction of planning/ownership of project/program elements.
  • Contribute to complex projects/programs as part of an overall strategy.
  • Align to the strategy in service of internal and external partners.
  • Develop and submit budgets and other collateral materials as needed to support the project.

Education and/or Experience  

Bachelor's degree and/or 1+ years of professional experience in higher education, event planning, or program management/administration.

Working Conditions  

This position requires clarity of focus while juggling complex projects or deadlines. This position may require flexibility to accommodate meetings, travel, events, and external constituent schedules.

Workplace Arrangements  

This is classified as an office-centric hybrid position. Colleagues working under an office-centric hybrid arrangement have a primary workstation at Rutgers UK in London, must have the right to work in the UK, and are in the office between one and five days a week.
