The University of California Education Abroad Program (UCEAP) is the systemwide international education organization of the University of California. UCEAP inspires and empowers global learning, supporting over 6,000 students annually across more than 40 countries. UCEAP operates two Study Centers in the UK/Ireland region: London (supporting ~650 students annually across 13 partner institutions) and Edinburgh (supporting ~600 students annually across 8 partner institutions).

Role Overview
Gross Salary: £31,700–35,000 including LW (pro-rata)
Employment Type: Permanent; part time 17.5 hours/week
Based in London, the part-time Program Assistant serves as a key point of contact for UC study abroad students. The role provides administrative support, student advising, program coordination, and event/orientation assistance. Primary responsibilities support UCEAP’s London programs, alongside seasonal assistance to the Edinburgh Study Center during peak periods in the fall and spring.

Key Requirements
Required
- Education & Experience: Bachelor’s degree (or equivalent experience/training) and ideally 1–3 years of entry-level professional experience in higher education program administration or basic administrative functions.
- Communication & Interpersonal: Professional English skills (CEFR B2 equivalent or higher) with a proven ability to communicate clearly, develop rapport, and engage sensitively with students.
- Customer Service & Advising: Experience in customer service and basic knowledge of student advising/counseling techniques.
- Organization & Initiative: Strong organization, time management, and problem-solving skills; ability to prioritize, work independently or in a team, and adapt to changing deadlines.
- Diversity & Inclusion: Demonstrated multicultural competencies, commitment to diversity, and ability to foster trust among staff, faculty, and students.
- Technical Skills: Proficiency in MS Office, cloud collaboration platforms (MS Teams, SharePoint), virtual meeting tools, social media, and adaptability to learn new technologies.
- Compliance & Discretion: Good judgment regarding data privacy, confidentiality (PII), and discretion.
- Local Knowledge: Understanding of local higher education environments.
Desirable
- CEFR C1 level English communication skills.
- Experience in study abroad/higher education administration or living/working/studying abroad.
- Knowledge of U.S. higher education structures.
- Experience planning events (e.g., orientations) and making referrals to student health/counseling services.
