Would you enjoy bringing people together from across the University and around the world, and turning plans into well-run events and visits?
Join the Global Engagement Office (GEO) as an Events Coordinator and play a key role in delivering a varied programme of meetings, conferences, seminars and visits that support the University's international engagement.
About the role
The role holder will coordinate events and visits from planning through to delivery, working with GEO colleagues and stakeholders from across the University and beyond. This will include incoming and outgoing visits involving senior University colleagues, as well as visits linked to international and diplomatic engagement.
The role holder will organise venues, accommodation, catering, travel arrangements, briefings and budgets, ensuring that the practical details are in place for successful delivery. A key part of the role will be facilitating events in person, acting as a point of contact for colleagues, guests, venues and suppliers, and responding to issues as they arise.
The role holder will also develop event plans and schedules, coordinate stakeholder contributions, maintain documentation and shared calendars, support invitations, briefings, communications and publicity, undertake risk assessments, monitor expenditure, and contribute to reporting and analysis.
Regular in-person working is an important part of the role, including working with colleagues and preparing for and facilitating events and visits. Some events may take place outside normal working hours, including occasional evenings and weekends, for which time off in lieu will be provided.
About you
You will have experience in an events role or supporting events, together with project management experience across multiple projects or events.
Excellent organisational, communication and interpersonal skills are essential, along with the ability to manage competing priorities and deadlines. You will be proactive, use your initiative and sound professional judgement, and know when to follow up to keep activities on track.
You will communicate accurately and diplomatically with a wide range of stakeholders. Advanced knowledge of events management would be advantageous.
