Professional Language Solutions is a well-established language training company, recently relocated to Hammersmith, West London. We provide a wide range of language and communication skills training to international corporations and UK government departments.

Due to a new contract with the Foreign and Commonwealth Office (FCO), we now have a new position for a full-time academic administrator in our Hammersmith office, with an immediate start date.

Responsibilities and Duties

  • Monitoring team email inboxes
  • Setting up course records in database accurately and precisely according to the entry fields guidance
  • Updating course records with up to date information (e.g. course start and end dates, test dates, test results, changes in teacher, etc)
  • Creating course timelines in Excel, updating on a monthly basis by cross-checking against lesson attendance records in database and investigating/highlighting discrepancies
  • Creating course documentation: course schedules, report templates, attendance sheets and trainer contracts
  • Setting up accounts to access IT for new trainers and students
  • Placing book orders
  • Confirming weekly lesson schedules and room allocations
  • Providing quarterly questionnaire feedback to Account Managers
  • Updating various Excel spreadsheets with data at key points in the month, identifying, investigating and correcting mistakes/discrepancies
  • Ad hoc administrative tasks

Qualifications and Skills

We are looking for an enthusiastic and hard-working graduate, who will report to one of our Account Managers, who are responsible for the delivery of excellence in a high-profile training contract for a major government department.

  • Previous experience in a similar role is desirable
  • Strong computer knowledge; MS Excel, MS Outlook, MS Word
  • Excellent communication and administrative skills
  • Ability to work under pressure in a fast-paced environment.
  • Most importantly, the ideal candidate must be highly organised, precise in their work, and able to meet strict deadlines imposed on us by our clients
  • A “can-do” team attitude is essential.
