The Faculty of Technology, Design and Environment undertakes teaching and research across a broad portfolio covering its constituent Schools of Architecture, Arts, Built Environment and Engineering, Computing and Mathematics.
The Faculty Office, which is located on our Headington Campus, provides outstanding professional services support for these activities.

We are seeking to appoint a Faculty Services Administrator, to support the work of the Head of Operations and provide excellent administrative support for a wide range of key Faculty activities.

You will have substantial administrative experience; including supporting senior staff; proven problem solving and interpersonal skills and the ability to work collaboratively to achieve team goals. Exercising sound judgement, discretion and confidentiality, the post-holder will fulfil a varied and dynamic role, including-

  • Providing comprehensive administrative support to the Faculty Head of Operations including; diary management and the organisation of meetings, preparation of committee papers, tracking of actions and briefing as required.
  • Providing support, advice and guidance on the recruitment and selection of Faculty professional services staff.
  • Record and monitor staff leave and other absences, liaising with Faculty line-managers and the University's HR Directorate as required.
  • Providing support for staff development activities including training events, away-days and cross-faculty co-ordination of the University's Performance Development Review Scheme
  • Working collaboratively with colleagues in the Faculty Office, including the Executive and Facilities Teams, successfully deliver cross-team objectives and ensure appropriate cover.
  • Managing the Faculty's graduation processes and procedures; working collaboratively with colleagues in the University's Graduation Office and across the Faculty.
  • Providing support for a range of Faculty activities, including undertaking risk assessments for field trips and staff travel, co-ordination of insurance claims and ordering of goods and services.

As Faculty Services Administrator you should have:

  • A-levels (or equivalent qualification) or equivalent experience
  • Substantial demonstrable administration experience supporting senior level staff
  • Experience of working autonomously and handling sensitive corporate information
  • Experience of monitoring a budget
  • Project management experience
