Contributing to the smooth operation of the administration within the Senior Executive Office
The executive officer administrator will provide administrative, planning, and scheduling support to the Senior Executive Team (C-Suite). The post holder will be a key point of contact for coordinating C-Suite meetings, both internal and external. In addition, assisting in the planning and administration of internal and external meetings/events and the management of BPP’s travel provider, currently, Click Travel. The post holder will also be supporting the EA to the CEO with various administrative tasks.
What you’ll be doing
- Providing high quality and pro-active administrative and diary support to the C-Suite.
- Assisting in the writing up and communicating of actions from C-Suite meetings.
- Making travel arrangements for the C-Suite and arranging lunches and refreshments for their meetings.
- Admin support and monitoring of the BPP Travel mailbox, including set-up of new users, removal of leavers, updating dimensions for BPP employees, dealing with basic travel queries, advising users of travel policy.
- Completing new supplier-set up documentation and consult with Due Diligence Team.
- Completing signature request documentation and consult with Legal Team when reviewing contracts.
- Consulting with Purchase Ledger and Treasury teams in relation to payment of invoices, and with the suppliers of those invoices in the event of any queries.
- Ad-hoc admin-based tasks relating to C-Suite and EA to the CEO.
- Ensuring compliance with any regulatory and legal requirements.

- Ability to manage the admin-based needs of multiple top-level stakeholders.
- Absolute discretion and confidentiality always, especially when dealing with sensitive information.
- Excellent communication skills, with an ability to compose/respond to emails in a professional and articulate way.
- Highly organised with a can-do attitude.
- A willingness to consult with people F2F and on the phone, as well as using email and IM.
- Ability to work in a timely manner, ensuring deadlines are met.
- Ability and desire to convey professionalism when dealing with, and on behalf of, the C-Suite, senior management, TDR, and externals.
- Ability to create relationships across BPP, with colleagues at all levels.
- Excellent accuracy, high level of diligence, and articulate in all forms of communication.
- Strong IT skills, with proficiency in Adobe and Microsoft Office, in particular Outlook (email and calendar), Teams, and Excel.
- Ability to prioritise own workload, work speedily and accurately, and use own initiative.
- Ability to respond to decisions in a changing environment and anticipate future needs.
