About the role:
This post is suitable for enthusiastic and meticulously organised applicants, with relevant administrative experience within an education setting to provide high level support to the Student Office team. The Student Office Administrator will support the efficient administration of all taught programmes in the Department of Materials. They will be responsible for administrative aspects of coursework management, work placements/year in industry/exchange programmes organisation and UROP, Erasmus, and occasional students.
What you would be doing:
Coursework Management
- Setting up and monitoring all assignments for coursework submissions on Blackboard Learn and reporting when required to the Senior Tutor(s).
- Responsible for inputting all coursework marks in the department database, including download of student submission files (if required) via Blackboard Learn/TurnitIn.
- Monitoring academic staff coursework marking, contacting academic members regarding late marking, recording and reporting of late marking etc. and reporting when required to Teaching Operations Manager, DUGs and MSc Course Director and following up with DUGs & Senior Tutor where necessary.
Student Support/Exams
- Provide full committee servicing function for the Student Staff Committee Meetings, including making committee arrangements, assisting with the preparation of the agenda and committee papers, taking minutes and carrying out follow-up actions as required.
- Support the Student Office team as a first point of contact for staff, students and other internal/external visitors and callers to the Student Office. This activity includes answering and resolving queries, providing expert advice on teaching policies and processes and escalating information requests when needed.
Work Placements/ Year in Industry/Exchange Programmes
- Responsible for managing and maintaining all information on students doing work placements/year in industry. Including up-to-date student list, company details and contacts, risk assessments, placement provider information forms, placement information forms, organising student presentation days etc.
- Responsibility for setting up and maintaining the Blackboard Learn work placement/year in industry folder including liaising with contacts at other institutions (along with the work placement coordinator) to establish agreed processes & projects available and disseminating this to students.
UROP, Erasmus, and Occasional Student Support
- Responsibility for processing internal and external UROP, occasional students and Erasmus applications for the department, and keeping an up-to-date record for the department.
What we are looking for:
- Educated to ‘A’ Level standard (or equivalent)
- In-depth knowledge of Higher Education procedures and policies.
- Administrative experience, ideally in an educational setting.
- Experience of working with student record databases.
- Experience of taking committee minutes
- An awareness of the student life cycle and pressures within an academic/Higher Education environment
- Experience using and updating Blackboard Learn or a similar Virtual Learning Environment (VLE)
