Main duties and responsibilities
In this varied role, you will provide a confidential administrative service, helping to use and help maintain internal and external spreadsheets, databases and web-based systems to deliver internal data reporting and analysis relating to Apprenticeships, to support management decision-making. Your day-to-day responsibilities will require you to collect, validate and report Individual Learner Record (ILR) data, European Social Fund (ESF) data and Earning Adjustment Statement (EAS) data to the Department for Education (DfE) in line with the published data collection timetable.
The role also involves ensuring that financial administration of apprenticeship records is completed and maintained in line with DfE and UH policies and procedures. You'll work closely with the Business Enterprise and Development team, Legal Services, Schools, and the wider Academic Registry departments to provide any assistance relating to funding eligibility and DfE compliance. You will also develop professional working relationships with employers involved with the apprenticeship scheme, including providing excellent support and guidance on areas such as the Apprenticeship Service account and funding and compliance queries.
Skills and experience required
You will have appropriate proven administrative experience in a complex and dynamic organisation and the ability to accurately collect, process and analyse complex data in different formats, especially within Excel. The ability to work accurately with a methodical approach and high level of attention to detail and the ability to work under pressure and to tight deadlines is essential. Good IT skills including the use of MS Office (word-processing and databases), along with the ability to deal with sensitive material with strict confidentiality is essential.
You will be able to demonstrate a good understanding of customer care, including a polite, helpful and confident telephone manner, alongside excellent written and verbal communication skills. We are looking for someone who is flexible and adaptable to team and workload requirements and has the ability to learn new skills. You'll be effective in a team setting and have the ability to demonstrate initiative with a can-do attitude to problem-solving.
Qualifications required
You will be educated with a minimum of A-levels or equivalent, or proven professional work experience.
