The Courtauld Institute of Art is seeking a proactive and highly organised Administrator to support the Departmental Administration Manager in delivering efficient and responsive administrative services across the History of Art department.

This varied role involves supporting faculty communications, managing expenses and travel grants, coordinating TRAC returns, and assisting with day-to-day financial and administrative tasks. The postholder will also work closely with the Vice Dean for Education and the Dean for Research, as well as faculty members, Executive Assistants, and professional services teams including Student Academic Services, Human Resources, Finance, and the Library.

Key Responsibilities

  • Provide administrative support to department leaders, including inbox management, meeting coordination, and committee servicing.
  • Support taught programmes and research activities, including liaison with Student Academic Services and programme leads.
  • Assist with MA programme administration (Curating and Art & Business), including guest speaker coordination, events, and communications.
  • Maintain accurate programme and faculty information, including workload planning and updates for KCL electives.
  • Process faculty expenses and support budget tracking across programmes.
  • Coordinate departmental resources, refreshments, and AV for meetings and events.
  • Collaborate with Executive Assistants and professional services teams to ensure smooth operations.
  • Uphold Courtauld policies including EDI, safeguarding, and health & safety.

About You

We’re looking for someone with:

  • Strong administrative experience and excellent organisational skills.
  • Confidence using Microsoft Office (especially Outlook, Word, Excel, SharePoint).
  • Excellent communication skills and the ability to liaise professionally across departments.
  • A collaborative, empathetic, and flexible approach to work.
  • Experience in higher education and financial literacy is desirable.
