About us:

The School of Cardiovascular and Metabolic Medicine & Sciences (SCMMS), is one of six schools that make up the Faculty of Life Sciences & Medicine (FoLSM) at King College London. The School drives translation of world-leading basic science into advances in clinical practices with activities focusing on the Cardiac Biomedicine, Diabetes and Vascular Biomedicine.

About the role:

We are delighted to offer an exciting opportunity to join the dynamic Professional Services team within the School of Cardiovascular and Metabolic Medicine & Sciences at King’s College London. We are looking for a proactive, organised, and highly motivated administrator who enjoys variety in their work and is keen to contribute to a busy, friendly, and high‑performing environment.

In this dual‑focused role, you will provide day‑to‑day administrative support at our St Thomas’ Hospital site. supporting a Professor with diary management, meetings, expenses, and local operational activities such as room bookings and office coordination. You will also support the School’s HR & Finance operations through assisting with key stages in the employee lifecycle, processing HR and finance transactions and maintaining accurate records.

This is a fantastic opportunity for someone who thrives in a fast‑paced setting, enjoys building strong working relationships, and is confident managing multiple priorities with accuracy and attention to detail. You will be part of a collaborative professional community and gain hands‑on experience across a range of administrative, HR and finance functions.

You’ll have strong organisational and communication skills, along with experience using MS Office applications such as Excel, SharePoint and Teams. Knowledge of HR databases or university systems would be an advantage, but training will be provided.

About you:

To be successful in this role, we are looking for candidates to have the following skills & experience:

Essential criteria

  1. Educated to degree level or able to demonstrate equivalent relevant professional experience.
  2. Strong administrative and PA skills, including diary management, correspondence handling, purchasing processes, and basic financial administration.
  3. Excellent organisational, analytical, and problem‑solving skills.
  4. High level of accuracy and attention to detail, with the ability to manage competing priorities & work effectively under pressure.
  5. Understanding of HR processes and the employee lifecycle within a complex organisation.
  6. Experience using communication platforms such as SharePoint and the ability to create and manage content.
  7. Experience managing complex data and working with information management systems.
  8. Ability to interpret and follow organisational policies and procedures, handle confidential information, and maintain discretion at all times.

Desirable criteria

  1. Experience working in a Higher Education or similarly complex organisational setting.
  2. Understanding of academic contracts, research funding arrangements, or university HR/finance processes.
  3. Strong customer service skills with the ability to build positive working relationships.
  4. Experience supporting events, committees, or project coordination.
