Main duties and responsibilities

The MBBS Assessment and Student Records Officer will support the delivery of assessment and student administration for the MBBS programme, ensuring processes operate efficiently and in accordance with university regulations and professional body requirements, including those of the General Medical Council (GMC). Working closely with academic colleagues, professional services teams, and external examiners, they will provide accurate advice and administrative support across the student lifecycle.

The MBBS Assessment and Student Records Officer will prepare and service Boards of Examiners, supporting the timely release of results and completion of post-Board processes. They will monitor student progression throughout the academic year, escalating issues where appropriate, and ensure student records are accurately maintained across the full lifecycle, including processing suspensions, withdrawals and repeat periods of study.

The role also includes advising students on regulations and complex or sensitive matters in line with university policy, responding promptly to queries via shared inboxes, supporting visa-related documentation, and contributing to the monitoring of student engagement and attendance. Working collaboratively within the MBBS administration team, the postholder will contribute to the review and improvement of systems and processes to support the effective delivery of the programme.

Skills and experience required

You will have experience working in a complex administrative environment, ideally within a large organisation with accountability to multiple stakeholders. Experience of working with a wide range of people in a customer focused environment 

The role requires excellent organisational and time management skills, with the ability to manage competing priorities, work under pressure to tight deadlines, and operate with minimal supervision. Data Analysis skills and meticulous attention to detail are critical, particularly when handling complex data and maintaining accurate records.

You will demonstrate strong IT proficiency, including experience with Microsoft Office (particularly Excel), and the ability to interpret and communicate regulations clearly. Excellent written and verbal communication skills are essential. Knowledge of data protection requirements and an ability to handle confidential information with discretion.

You will demonstrate initiative, problem-solving skills, and a collaborative approach to working with a commitment to delivering an excellent student experience to support the effective delivery of the MBBS programme.

Qualifications required

Educated to A-levels or equivalent qualifications or proven experience
