Are you an organised, hands-on administrative assistant looking for a part-time opportunity in a supportive and intellectually stimulating teaching environment?

The Department of Archaeology is delighted to invite applications for a part-time Administrative Assistant to join its friendly, close‑knit team supporting administrative and financial processes and communications activities.

About the role

This varied and rewarding part-time role places you at the centre of a dynamic teaching department, where you’ll play a key part in keeping the administrative function running smoothly and efficiently.

Working closely with the Department Administrator, you will provide broad administrative support across the team, including:

  • onboarding and offboarding support
  • building inductions
  • maintaining office systems/ procedures
  • contributing to continuous improvement of administrative processes

As Administration Assistant you will take responsibility for a range of financial administrative tasks, including:

  • monitoring budgets and processing invoices/orders 
  • liaising with finance colleagues ensuring timely payments.

The role also supports key annual activities at busy times:

  • issuing appointment letters for safety roles
  • updating essential departmental documentation
  • academic year preparations, student access systems
  • helping to deliver Departmental events, (catering, accommodation, etc)

In addition, you will work with the Outreach and Communications Co-ordinator:

  • supporting internal and external communications
  • maintaining website/intranet content
  • supporting with file storage and access,
  • assisting with AV and IT setup for events and activities.
  • supporting copy writing
  • producing news stories content for the departmental website and social media.

This is an excellent part-time opportunity for someone who enjoys variety, takes pride in organisation, and wants to make a meaningful contribution to a collaborative and fast-paced environment. This role would suit a secondment from within the University.

About you:

You will bring enthusiasm and a positive, solutions‑focused approach to the role, enjoying the opportunity to make a real difference to the student experience. Comfortable working both independently and as part of a supportive team, you will bring:

  • Strong organisational skills, a keen eye for detail and pride in delivering accurate, high‑quality work
  • Experience in a university administrative environment, with an understanding of financial processes
  • Excellent communication and interpersonal skills, and a friendly, approachable manner
  • Experienced user of Microsoft Office
  • Experience with content management systems
  • High level of accuracy
  • A professional, discreet approach, with a clear appreciation of the importance of confidentiality
  • Educated to A level standard, NVQ level 3-4, or equivalent level of practical experience
  • GCSEs (or equivalent) in English and Maths
