As part of the Governance Team in the Vice-Chancellor’s Office, the Governance Assistant will play a key role in the governance of the University, providing a professional, customer focussed governance service to support the effective functioning, development and enhancement of the governance framework of the University to ensure good governance and good decision making within a forward looking University.

The postholder will have experience in a governance role, preferably within a higher education environment. They will have, or will quickly develop, an understanding of the regulatory framework for higher education in Wales and across the UK and an excellent knowledge of the governance framework of the University and University policies and procedures.

This is a position of high trust where the postholder may be required to work with a broad spectrum of highly sensitive information, including personal data and commercially sensitive matters.  Discretion, tact, and sensitivity are absolutely essential.

The postholder will provide administrative support for a wide range of University committees and other activities including awaydays, and governance, training and development events. This will include but not be limited to: booking venues, arranging catering, parking, and technical support, setting up rooms for in-person and hybrid meetings, and meeting and greeting attendees.

The postholder will provide administrative support to committee members which will include but not be limited to: recording and processing expense claims, processing parking permits, recording and booking course and events, and making travel arrangements though a range of internal and external portals.

The postholder will be responsible for preparing confidential electronic and hard copy meeting packs for committees and committee members using a variety of portals and packages including cloud‑based platforms.

The postholder will be responsible for the preparation of hard copy and virtual committee minute books and for liaising with other members of the Governance Team to track the preparation and approval of University committee minutes throughout the year.

The postholder will have excellent written and oral communication skills and attention to detail. They will be responsible for compiling and maintaining reference documents (e.g. an annual diary of meetings and events, committee membership and terms of reference reports, and committee member induction materials etc) ensuring they are up to date, and easily accessible to members of the Governance Team and where relevant the wider University through a document repository (e.g. SharePoint). They will also have opportunities to assist with supporting committees through attending committee meetings and assisting with the drafting of agenda, meeting notes, minutes, and reports as directed by the University Secretary.
