Job title: Operations Administrator

Report to: Director of Programmes

Job details:

  • Work with the Director of Programmes to ensure that all courses and calendars function smoothly
  • Be the main point of contact for all Master’s and Doctoral student/supervisor queries by telephone and email.
  • Liaise with admissions to collect new Master’s and Doctoral student information for September course starts. Collate the information and send out reading lists and invitation to induction (if applicable).
  • Collate registers for the three Masters induction dates and pass on to Director of Programmes.
  • Collate registers for the Doctoral induction dates and pass on to Director of Programmes.
  • Work with Admissions on collating lists and the distribution of Reading Lists to all PG courses.
  • Organise Masters Supervisors – sending out and collating Forms for allocation, sending on payroll documentation. Manage the paperwork for the recruitment of new Masters and Doctoral supervisors in discussion with the Director of Programmes.
  • Allocate Master’s supervisors to all students in August/September. Re-allocate supervisors if student requests this during the course.
  • Be the first point of contact for all Masters and Doctoral Supervisor queries.
  • Send out all Master’s and Doctoral course information regarding webinars and study days across the Masters and Doctoral courses.
  • Collate student list for each of the three senates and check spreadsheets for correct marks with Director of Programmes
  • On our online platform, manage and check assignment marking and make sure this is completed in time for the assignment reveals. Chase supervisors for any unmarked assignments. Send Director of Programmes a monthly reveal list for course moderation. Contact students who fail to resubmit.
  • Adjust online platform pages as requested.
  • Keep records of all student assignment results.
  • Manage all student deferrals, withdrawals and assignment extensions. Manage the points of re-entry onto the course
  • Liaise with student fees regarding their various course/payment queries.
  • Attend annual performance review with Director of Programmes.
  • Carry out any other reasonable tasks requested by the Director of Programmes.
