This role will be based on the university campus with scope for it to be undertaken in a hybrid manner. We are also open to discussing flexible working arrangements.
Do you have significant experience of working as a Personal Assistant or Secretary to senior management? Do you have strong communication skills, excellent attention to detail, and the ability to maintain effective and collaborative working relationships?
We are seeking a highly motivated, proactive and experienced individual to provide professional high-level administrative and secretarial support to members of the Facilities Directorate’s senior management team. Working across different departments, you will gain a comprehensive understanding of how the Facilities Directorate develops, maintains and operates the University’s large estate, with its many buildings, spaces and campus services.
Your duties will include the effective management and maintenance of complex electronic diaries, proactively supporting the senior staff team to achieve their objectives and priorities, and arranging and servicing a range of management meetings, committee groups and workshops. The role will also occasionally require making travel and accommodation bookings, and financial administration such as processing claims for expenses or submitting purchase order requests.
You will be required to confidently liaise with staff across the Facilities Directorate and the University, as well as external contacts. You will have excellent writing skills and extensive experience of producing meeting minutes and actions. You will also possess excellent IT skills and have a strong working knowledge of Microsoft Teams, Outlook, Word, Excel and PowerPoint.
Your excellent communication and organisation skills will enable you to work independently and use your own initiative and judgement in order to make decisions, as well as working collaboratively as part of the wider FD PA Team, providing cover for colleagues as needed.
Previous experience of working in Higher Education would be desirable.
