The role

Are you a proactive, highly organised professional with a passion for driving operational excellence and supporting senior leadership? We're looking for a confident and capable individual to provide executive support by coordinating, implementing and overseeing administrative procedures for the University Librarian's Strategic Support Office to ensure the efficient and effective management of time and workflow.

As an Executive Assistant and Senior Coordinator, you will:

  • Act as secretary to committees/meetings, organise meetings, prepare agenda and write minutes, assist with the drafting of documents such as reports and papers on various issues, give advice on matters of policy and procedures as required.
  • Organise VIP visits and events such as meetings, seminars, and provide administrative support including the preparation of documents and responding to enquiries.
  • Provide administrative and EA support to senior staff including diary management, manage daily incoming information, circulate and respond to information, make potentially complicated travel arrangements, coordinate induction programmes for new staff as required, handle expenses claims, coordinate staff briefings and manage administrative projects.
  • The role will also provide resilience and cover to the Executive Assistant and Administrator in the team if needed.

What we are looking for

  • An experienced Executive Assistant/Senior Administrator who is used to working in a matrix environment with multiple people/teams in a multifunctional administrative role.
  • Experience of managing the time of others and supporting senior leaders to maximise their time.
  • A strong working knowledge of Microsoft Office package (e.g. Word, Excel, Teams, Outlook) with string accuracy and attention to detail.
  • Excellent organisational skills with the ability to manage their time effectively, prioritising a diverse and changing workload.
  • Excellent communication and interpersonal skills.
