About Us
The UCL School of Management is home to UCL’s business and management research and education programmes. We are internationally recognised for excellence in innovation management, technology-intensive organisations, business analytics, and entrepreneurship. In the Research Excellence Framework (REF) 2021, our research was rated "world-leading" and "internationally excellent," ranking the School second in the UK for Business and Management. We are accredited by AACSB and AMBA and are a member of the Chartered Association of Business Schools.
The School is home to more than 2,300 students from over 55% international backgrounds, studying across undergraduate, postgraduate, executive, and PhD programmes. Our courses prepare graduates for leadership roles in technology-driven organisations, entrepreneurial ventures, finance, and consulting.
This is an exciting period of growth for the School. Since 2025, we have been expanding rapidly under a new strategy that will double our staff and student population over the coming years. This includes new academic programmes, increased staffing, and enhanced facilities at our Canary Wharf campus, supporting our mission to develop socially conscious entrepreneurial leaders equipped to address global challenges.
About the Role
The Receptionist and Facilities Administrator will provide reception, facilities, and administrative support across Levels 38, 48, 49, and 50 of 1 Canada Square. Acting as the first point of contact for students, staff, and visitors, the postholder will deliver a professional front-of-house service while ensuring the smooth day-to-day operation of the School's facilities.
Key responsibilities include managing facilities requests, monitoring room bookings, coordinating logistics for meetings and events, supporting Executive Assistants, and maintaining a safe, welcoming, and efficient working environment.
The role requires flexibility to support School activities, including occasional evening or weekend work. Working hours will typically be either 8:00 am–4:00 pm or 10:00 am–6:00 pm, Monday to Friday, depending on operational needs.
Salary: UCL Grade 6 (£36,433–£41,833 per annum, including London allowance).
About You
You will have a good general education (A-level or equivalent experience) together with knowledge of facilities management, health and safety, and fire safety procedures. You will bring experience of delivering excellent customer service and providing administrative and facilities support within a complex organisation.
Strong IT skills are essential, including proficiency in Microsoft Word, Excel, Outlook, and internet-based systems. You will have excellent communication and interpersonal skills, enabling you to interact confidently and professionally with a wide range of stakeholders.
The successful candidate will be able to assess risks, resolve facilities issues, maintain confidentiality when handling sensitive information, and work effectively both independently and as part of a team. You will take ownership of maintaining high service standards while recognising when to escalate issues for support.
Equality, Diversity and Inclusion
As London's Global University, UCL values diversity as a driver of creativity, innovation, and excellence. We are committed to equality of opportunity, creating an inclusive environment where everyone feels they belong, and building a workforce that reflects the diversity of our global community.
We particularly welcome applications from groups currently underrepresented in our workforce, including people from Black, Asian and ethnic minority backgrounds, disabled people, LGBTQI+ people, and, for Grade 9 and 10 roles, women.
