Main duties and responsibilities
In this role you will provide high-level support to the Associate Director with the management of processes relating to the University’s Examinations, Awards, Graduation Ceremonies, Exceptional Circumstances (ECs), Appeals, Academic Misconduct and Fitness to Practice (FtP) activities.
You will oversee all aspects of the administration of the Universities formal examinations, including but not limited to, planning and preparation in advance of the examination session, producing the Universities formal examination timetable and ensuring compliance with the Universities policies and regulations. The role will require management of the physical examination office during the examination periods, managing staff and ensuring the examinations run as determined by the UPRs and the Invigilator recruitment process.
Duties will also include management of the administrative procedures relating to the appointment of invigilators, their claim forms / payments and supporting the Associate Director with examination budgets, including requesting quotes and raising requisitions. You will be expected to champion data management best practice to meet the University’s regulatory obligations and to ensure the integrity of student data and that student records, manual and electronic, are updated and maintained in an efficient and effective manner.
Skill and experience required
You will be expected to have proven experience in managing a range of demands, managing staff, training staff on new processes and ensuring compliance and of assimilating and interpreting complex regulations and procedures. You will also be required to show substantial proven experience of working within a team, yet also independently and without supervision.
The role will require you to have excellent negotiation skills and problem-solving skills with the ability to find solutions to complex issues. The ability to work under pressure to meet tight deadlines whilst managing a range of demands effectively and to develop and maintain excellent working relationships with a variety of internal and external contacts will also be essential for the role. You will be expected to have excellent IT skills including the use of Word, Excel and other IT applications, especially databases, Microsoft Teams, Zoom etc, and the demonstrable ability to work accurately with a range of data items and systems with specific attention to detail.
You must have excellent oral and written communication skills at all levels and should create good working relationships both internally and externally and to motivate others. The role will require you to be flexible and adaptable with team and workload requirements and display high standards of customer care and an appropriate manner in dealing with a range of different stakeholders.
Qualifications required
You will be educated to a minimum of degree level, or equivalent level qualification, or have substantial proven professional work experience.
