In this role you will make a key contribution to the effective running of the External Relations directorate by providing first class PA support to the three directors, along with administrative, logistical and customer service support to the wider department. This includes raising purchase orders, processing invoices and expenses, booking rooms, organising catering, servicing meetings, maintaining records, booking travel and assisting with logistics for events.
You will be educated to A-level standard (or equivalent experience), with relevant experience of providing PA support to a head of team or department, and of working within a team in an office environment, ideally in an HE environment. You will be pro-active and well organised with the ability to remain calm under pressure.
External Relations comprises of a number of teams: Student Recruitment, Marketing, International Office, Outreach & Access, Events & Alumni, Communications, Design, Digital and Admissions. In 2022 we were chosen as the department to pilot a new way of working with brand new offices, furniture and IT that enable a dynamic workspace with multiple working purposes. There are collaborative/breakout spaces, quiet working zones, individual pods for Teams calls and a social environment for networking. The space was designed in collaboration with staff and allows them to move freely between areas to suit their preference, comfort level and the task being worked on. As part of these new ways of working the Office Management team are currently piloting working in a hybrid manner (3 days on campus, 2 days working from home). The Office Management team has also recently expanded to a team of four: Service Business Manager, Deputy Service Business Manager (a new role), PA/Administrator and Support Officer.
