Student Systems Maintenance Team Leader

Birmingham City University is a large and diverse place to study right in the heart of the vibrant city. We currently have an exciting opportunity for a Student Systems Maintenance Team Leader to join our dynamic team within the newly formed Directorate of Student and Academic Services. The Directorate is responsible for ensuring that students have an excellent experience and provides services across the student and academic lifecycle from enrolment to graduation, covering everything from wellbeing services to ensuring new courses are set up correctly. This role will suit an experienced team leader/manager who is experienced in working with SITS and e:Vision, ensuring reliability and efficiency of the system through proactive management and support of an annual maintenance cycle.

About the Role:

Working within Delivery Services you will report to the Student Systems Manager. The post holder will be able to lead, inspire and motivate a team, build positive cross departmental working relationships, and deliver plans to a defined schedule of activity whilst being agile and responding to business demands. 

The post holder will lead and manage a team who support the annual cycle of student systems maintenance on the student records system, SITS. The post holder will manage a team who contribute to the designing, development and testing of solutions and enhancements to student systems, including SITS and e:Vision, and related systems as appropriate giving consideration to data quality, user requirements, accessibility and ongoing maintenance.

Main Responsibilities:

The Student Systems Maintenance Team Leader will:

  • Lead and manage a team of Student System Maintenance Co-ordinators. and create and deliver the operational plan for student systems maintenance.
  • Monitor the performance and health of student systems.
  • Collaborate with technical support teams to resolve system problems and minimise downtime.
  • Oversee the batched and automated systems processes ensuring that these operate correctly and to an agreed schedule that supports that academic cycle.
  • Provide advice and support on integration of systems.
  • Ensure all team members are supported and developed to deliver all services within your remit for example SRL’s.
  • Deliver front-line technical support to users, investigating and resolving technical problems and referring issues to colleagues within the team as required.
  • Review and suggest improvements to business processes through developments and enhancements to student systems and work to implement these effectively.
  • Ensure comprehensive documentation of system configurations, processes, and procedures.
  • Ensure that service level agreements/service standards are met.
  • Provide support to colleagues in relation to user and system queries.
  • Work closely with key stakeholders and other professional services groups such as IT to deliver all activities within your remit.
  • Resolve complex queries where applicable.
  • Be an expert in matters pertaining to systems maintenance and SITS.
  • Provide reports and summary data of service level agreements and key business data.
  • Deputise for Student Systems Manager when required.

Key Requirements: 

The successful candidate will have:

  • Educated to first degree level or able to demonstrate a combination of professional qualifications, skills, and experience at an equivalent level.
  • Extensive experience in the use of a corporate student record system and the configuration of its records and data structures, in particular SITS and e:Vision.
  • Experience of coding and SRL production.
  • Experience in a similar role ideally in higher education.
  • A high level of numeracy and literacy.
  • Excellent written and oral communication skills including the ability to adapt to different audiences and write reports to high standards.
  • Excellent organisational skills with the ability to prioritise effectively and resolve operational problems often at minimal notice.
  • Comfortable meeting and interacting with staff from various levels.
  • A commitment to a client-centred approach to service delivery.
  • A systematic, disciplined, and analytical approach to problem-solving.
  • Ability to discuss technical details with both non-technical and highly skilled individuals.

The appointed candidate will normally be employed through our subsidiary company BCU Support Services Limited, a wholly owned subsidiary of Birmingham City University. Appointees with prior LGPS membership who wish to enter the LGPS scheme will be able to do so and will be employed by Birmingham City University directly.
