About the role

Are you an administration professional who enjoys working in a fast paced environment? Do you have a background as a team or operations administrator, coordinator or assistant? Do you enjoy working with data and Excel and have experience of event management and/or CRM systems? Would you like to be part of a team that delivers high profile and VIP events?

If so the Institutional Events Team at Imperial College London is looking for a highly organised Operations Coordinator to support their work as part of the Strategic Engagement Division.

What you would be doing

  • Provide operational and administrative assistance to the team as directed by the Deputy Head of Institutional Events to support the delivery of our events portfolio.
  • Be the main point of contact for Imperial Inaugurals Lecture Series
  • Hold responsibility for managing and delivering a small portfolio (up to 5) of events per year assigned by the Deputy Head of Institutional Events. You will need to effectively manage the relationships with stakeholders and suppliers to ensure that events are delivered on time and meet expectations of all stakeholders.
  • Assist in profile-raising efforts for the team and represent the work of the Institutional Events Team at cross-divisional meetings, where appropriate.
  • Work closely with the Institutional Events team to support or manage the guest list, invitation and RSVP process for events
  • Act as the first point of contact for incoming queries into the Events Team
  • Assist the team during events to support practical delivery.

The newly formed Strategic Engagement Division works closely with the President’s Office, bringing together Communications, International Relations, Public Affairs, Imperial Policy Forum and Institutional Events. As a member of the Division, you will help to achieve widespread understanding of Imperial’s mission, vision and aims, and assist in building and maintaining Imperial’s global reputation.
