Work Location
This is a campus-based role. The successful candidate will primarily work on-site, with the option to work remotely up to 40% of the time. Initially, the role will be fully campus-based during the induction and onboarding period.
Main duties and responsibilities
The postholder will play a pivotal role in coordinating and administering clinical placements for MBBS students, ensuring that all aspects of the placement process run smoothly and in alignment with University and General Medical Council (GMC) standards. This includes working closely with academic staff, placement providers across the National Health Service (NHS) and independent sectors, and students to facilitate high-quality, compliant placement experiences.
A key responsibility is the organisation of placements, which involves liaising with Placement Tutors, students, and placement provider staff, managing communications, and ensuring all administrative elements are in place. The role also encompasses processing financial transactions such as tariff payments. The post will support legal and regulatory compliance through the administration of contracts and Disclosure and Barring Service (DBS) checks.
The postholder will maintain accurate records related to placement quality assurance, including audits, evaluations, and approval visits. They will support the Clinical and Academic Placement Lead in ensuring placements meet required standards and contribute to a culture of continuous improvement.
Skills and experience required
The successful candidate will possess administrative experience, ideally within higher education in an operational/administrative role, and demonstrate excellent organisational skills with the ability to manage multiple priorities and deadlines effectively. They will be confident in working independently as well as collaboratively within a team, showing initiative and a proactive approach to problem-solving.
Excellent communication skills – both written and verbal – are essential, as the role involves liaising with a wide range of stakeholders including students, academic staff, and external placement providers. The postholder must be able to build and maintain positive working relationships and respond to queries with professionalism and clarity.
A high level of accuracy and attention to detail is required, particularly when handling data, processing payments, and maintaining records. The ability to work with confidential information and ensure compliance with data protection regulations is also critical.
Experience using digital systems and databases is important, along with a willingness to learn new technologies and contribute to the continuous improvement of administrative processes. A customer-focused mindset and commitment to delivering high-quality student-focused service are key attributes in this role.
Qualifications required
A minimum of A-Level education (or equivalent) or proven relevant professional experience demonstrating the required competencies.
