The working hours in this role will be 09.00 to 17.00 hours (Monday to Friday) 35 Hours per week which include a 1 hour unpaid lunch
The LSE is seeking to employ a Head of Administration (Estates). The post holder will be an attendee of the Senior Management Team within the Estates Division contributing to the corporate management of the Division with responsibility for managing all administration, secretarial functions, finance administration, and systems within the Division. The post holder will work closely with various Estates subdivisions; the Facilities Management, Capital Development and Property and Space Management alongside a close working relationship with the FP&A Manager in Finance to ensure smooth running and efficiency of the service. To communicate with Finance division on a regular basis to provide updates with status of projects (after liaising with PM's in Cap Dev team) as well as any significant other budget constraints known.
To bear responsibility for day-to-day financial administration; deal with internal and external accounts queries, processing of invoices and internal debit charges, recharges etc. Review and keep up to date with transactions in ledgers with anything that may be miscoded to be amended and reallocated.
To independently plan, conduct, and report on matters relating to the Estates Division, for the purpose of management information provision and strategic decision making. The post holder will also undertake administration for the Senior Management Team, providing general assistance in a wide range of tasks and projects and ensure that committees are appropriately serviced.
To bear responsibility for maintaining accreditation of the Quality Management System (QMS) to ISO 9001:2015 standard, by monitoring QMS procedures, challenging inefficiencies and working with various Estates subdivisions to initiate changes to procedure and documentation where required. To liaise daily with staff at all levels across the School, as well as students and other stakeholders, acting as the initial point of contact in all matters concerning senior members of the Estates Division.
