JCA | London Fashion Academy is a premium higher education provider with its flagship campus based in the heart of London’s prestigious Mayfair.

JCA | London Fashion Academy is seeking a highly motivated and articulate professional to join the Student Engagement Team as an Admissions Manager, where you will support the admissions function, processing applications and conducting assessments in line with defined procedures, processes, policies, and regulations. The Admissions Manager will be responsible for driving their work activities independently while ensuring that the work in a coordinated manner within a team. You will develop and maintain good working relationships with key stakeholders (departments and colleges/schools) to ensure you deliver the best possible service. We are looking for an effective communicator with excellent customer service skills, someone who will strive to provide the best experience for each candidate they support.

The ideal candidate will also develop expert and authoritative knowledge to guide/support candidates and other stakeholders throughout the candidate journey. Having good IT knowledge and experience in using systems, databases and software to complete administrative tasks and business processes in accordance with internal policies and procedures and relevant external regulatory requirements is beneficial.

The Academy seeks to support the best and most gifted designer to fulfil their ambitions and fundamental to its DNA is the focused interest in supporting learners to transition from higher education into entrepreneurship and employment.

Duties & Responsibilities

Admissions

  • Be responsible for the handling of student applications and a smooth journey from the start of admission to enrolment on Monday.com and UCAS.
  • Carry out initial checks on applications for a portfolio of courses, (including but not limited to minimum entry requirements, criminal convictions, multiple application identification, immigration checks).
  • Have knowledge of the Home Office rules and regulations for International Students. Take responsibility for student route visa students and all aspects of compliance ensuring compliance with UKVI and JCA requirements. 
  • Preparing and issuing CAS
  • Provide advice and guidance on course options to applicants and potential applicants verbally and in writing. Deal with all internal and external queries concerning the progress and status of an application.
  • Ensure competent administration of the admissions processes and record keeping.
  • Monitor the responses of applicants to decisions and update the information on the institutions student record system (Monday.com)
  • To keep the applicants that hold offers warm, via emails, phone calls and JCA’s keep warm processes.
  • Contributing a vital service to support JCA in meeting its targets for recruitment across all programmes.
  • Manage time effectively, prioritising work to meet demands and recruitment deadlines.
  • Provide a quality, customer focused first line, advisory and information service, giving initial support and guidance on admissions policies and procedures, including student experience (accommodation, travel and tuition fee guidance)
  • To undertake word-processing and document preparation including the preparation of letters, e-mails, and welcome pack to students, and posting appropriate information to Student Forums.
  • Maintaining JCA accounts and keeping all information up to date on UCAS and other educational portals
  • To ensure all admissions related documents are up to date in print and on the website and any other external portals and where needed work with the marketing and graphic design officers to get these updated.
  • To forward scholarship candidates to the scholarship committee

Enrolment

  • To help Registry check and collect documents from all applicants for enrolment.
  • To help gather relevant data and conduct verification during induction week.
  • Support the planning and execution of enrolment activities for student registration.

General

  • To help students seeking additional support and signpost them to the relevant individuals.
  • To help with UCAS events, tours, and open days on campus when needed.
  • Undertake general administrative duties.
  • Adherence to all Academy policies and procedures and to the Data Protection Act.
  • Assist with ad hoc project work when required.
  • Undertake other relevant duties as may be required in the interests of the Academy.

About the Candidate

  • Experience of being administratively self-sufficient and accustomed to exercising initiative.
  • Confident user of the Microsoft Word, Excel
  • Familiar with UCAS and other student management systems.
  • Experience of prioritising and ability to balance a diverse workload while working with precision.
  • Good organisational and time management skills; scheduling and prioritising multiple projects and tasks with varying deadlines.
  • Educated to at least degree level or equivalent industrial experience.
  • Knowledge and experience of admissions processes and procedures in higher and further education.
  • Knowledge of UK, EU and International qualifications.
  • Knowledge of relevant legislation such as Equality Act, Data Protection Act, Freedom of Information Act. (Desired, not essential)
  • Previous experience of working in a customer service orientated environment.
  • Excellent interpersonal and communication skills.
  • Ability to always respect a high level of confidentiality.
  • Positive approach to self-development.
