The opportunity

Cardiff School of Art & Design recently celebrating its 150th anniversary, is a community of learning, that enjoys excellent facilities and is proud of its cross- disciplinary curriculum and research.  The School currently has 13 inter-linked undergraduate programmes in a unique cross-disciplinary undergraduate scheme, and 8 inter-linked Masters awards.

You will play a pivotal role in the School by providing key administrative skills and supporting the student experience. Embedded in the CREATE Team (Creative Research, Enterprise and Teaching Engagement) your responsibilities include maintaining and developing good record management & university documentation, facilitating communication between teams and central units, coordinating events, supporting committees, processing orders and day-to-day administration of project budgets, and supporting the Research Degree Student experience.

You will also embrace technology and digital platforms to improve shared access to resources and enable excellent communication to support hybrid and remote working.

You will be proactive and stay well-informed of university regulations relating to your role.

What you’ll do – key duties

Provide proactive administrative support to operationalise key school strategies, primarily Research, Innovation and Research Degrees

Be the first point of contact for enquiries and provide signposting assistance to staff and Research Degree Students

Use University finance tools to monitor, provide day-to-day management and report on project budgets

Place orders and make credit card purchases, ensuring maintenance of appropriate records and that all purchases are in line with University policies and procedures

Provide administrative support for projects and activities in receipt of internal and external funding

Utilise and help develop CASD’s online information resources for staff and students, for example, Moodle, Sharepoint, OneDrive and Teams

Manage day-to-day Research Degree administration by coordinating School records and using University admissions and progression systems

Provide administrative support for the organisation of training events, such as CPD, conferences and workshops

Administer and minute committees as required, primarily the School Research Degrees Committee and Ethics Committee

What you’ll bring – essential experience & strengths

You will bring proficiency in using Microsoft packages to a high level, including Word, Excel and Teams

You will have experience of monitoring multiple budgets and/or datasets

You will have experience of compiling numerical and text-based data for inclusion in reports

You will have knowledge of using digital tools to coordinate between team members and other stakeholders, for example, using shared email accounts, arranging meetings, etc

You will be skilled in processing data for inclusion in reports

You will have a good eye for accuracy and attention to detail

You will be an inquisitive thinker who enjoys solving problems

You will be a multi-tasker who is able to meet tight deadlines whilst remaining focused and calm.

You will have the ability to work as part of a team, as well as on your own initiative

You will have excellent interpersonal skills, working as part of a team with both internal and external stakeholders.

You will have excellent communication skills.

You will have the ability to maintain shared filing and communication systems that can be used for on site and remote working.

You will be digitally competent
