EMBL is Europe’s flagship laboratory for the life sciences – an intergovernmental organisation with more than 110 independent research groups and service teams covering the spectrum of molecular biology. The Course and Conference Office (CCO) is a team of 20 events organisers and marketers that operationally fulfils EMBL’s mission to provide exemplary training for the life sciences, making the laboratory the leading learning and meeting place for biologists in Europe. Join the team that delivers world-class courses, conferences, and workshops at the forefront of molecular biology, primarily at the striking Advanced Training Centre (ATC). EMBL’s purpose-built venue, the ATC is centred on a 500 capacity conference auditorium plus a suite of wet laboratories and training rooms, complete with social spaces designed to foster networking and collaboration.

You will lead the marketing team, which communicates with the scientific community using the full mix of channels to generate participation in and audiences for the programme of conferences, courses, and events. The marketing team monitors quality and reach of the programme and has a broader remit to promote the external training activity and events programmes of all six EMBL sites.

As the team lead, you will own and drive the events marketing strategy, directly supervising the marketing officers / managers. You will also take on the marketing activities for a share of the events programme yourself.

We're looking for an experienced marketing professional who combines leadership flair with solid operational marketing skills and knowledge. We would need you to join us early in 2023 taking over the reins in promoting our programme of over 50 conferences and training courses for next year. Emerging from the pandemic, the focus of our events is onsite once again but we've taken the best digital aspects of the virtual years with us into our exciting new course and conference formats. 

The post is based in Heidelberg, Germany and English is the working language. 

Your role

Leadership:

  • Leading the design, planning, and execution of all event marketing campaigns and channels for EMBL's External Training Programme including: online, email, video, print, and social media
  • Planning staff resources; recruiting, managing, and developing the marketing team (currently 4 staff members plus internships)
  • Oversight of the marketing outputs and projects assigned to team members, ensuring high quality
  • Shaping efficient team communications and training for the marketing team through effective meetings, training, and information management
  • Budgetary responsibility for marketing activities ensuring adherence to EMBL and CCO financial policies and regulations
  • Creative input to strategy and planning for CCO
  • Identifying opportunities for improvement in the CCO and leading their implementation
  • Establishing and implementing collaborations and best work practices with other EMBL sites or teams involved in training, communications, and marketing

Marketing and operational tasks:

  • Oversee your own assigned event marketing campaigns from start to finish, including website creation, digital and offline marketing, taking photos, and preparing slides
  • Oversee EMBL Events online and print communications, eg. EMBL Events Blog, articles in 'EMBLetc', annual programme poster, and merchandise
  • Managing artwork production and workflows for online and print media
  • Liaising on new website developments, maintaining CCO, EICAT, Advanced Training Centre websites, and providing 1st level website support to the CCO
  • Oversee media partnerships with a range of stakeholders, e.g. journals and partner organisations
  • Conducting market research and compiling event statistics, including analysis of feedback questionnaires
  • Establishing campaign ROI and effectiveness metrics through reporting and analytical tools
  • Creating annual reports for the EMBL External Training Programme
  • Building and maintaining good relationships with internal and external partners
  • Administrative functions necessary to the post

The role may occasionally require evening / weekend work or visits to other EMBL sites. 

You have

  • Ideally 5+ years of professional experience in marketing / events marketing / related field 
  • Proven leadership ability and prior experience of supervising team members
  • Strong administrative, coordination, and customer service skills 
  • Adept communication and relationship building skills.
  • A talent for marketing: combining attention to detail with flexibility and the vision to see the priorities, enabling you to manage multiple projects
  • Creative self-starter and innovative thinker
  • Strong software skills and facility to rapidly learn new applications, especially relevant applications are: Adobe Creative Suite, content management systems (currently Wordpress), customer relationship databases, social media, email marketing, Google Analytics, Google Adwords
  • Fluency in English is essential, this being the working language at EMBL
  • Basic level of German language proficiency, or commitment to acquiring it - courses available internally 

You might also have

  • Specific experience marketing international conferences and events or in science communications
  • Experience of leading effectively in a hybrid remote / onsite team 
  • Level of university / academic education and relevant professional qualifications will be considered in shortlisting

The post is based in Heidelberg with EMBL currently moving to a flexible, hybrid working model as we come out of the pandemic. Regular presence on site for contact with the team, our events and EMBL is a must, but we aim to keep a very high degree of autonomy for team members in planning their work mode and schedule. Our team meetings are virtual.

We are an innovative and interdisciplinary laboratory with more than 1700 employees from many nations, operating across six sites: in Heidelberg (HQ), Barcelona, Hinxton near Cambridge, Hamburg, Grenoble, and Rome.

Please note that appointments on fixed term contracts can be renewed, depending on circumstances at the time of the review. The pathway for Course and Conference Office staff  at EMBL is commonly up to three consecutive three-year contracts, with clear progression opportunities within the team.
